Responsibilities and Duties
· Maintain an accurate general ledger by ensuring complete accuracy in company's QuickBooks program.
· Process Invoices through internal databases and record on customers portals within 2 days of the work completion. Update cash flow reports.
· Process Employees timesheets and manage the payroll process.
· Record company credit card statements.
· Job cost labor, material and expenses.
· Prepare and submit monthly state taxes.
· Reconcile accounts monthly.
· Manage account payables and account receivables.
· In partnership with the Office Manager, recruit, train and develop and supervise office staff.
· Fosters positive staff morale and environment.
· Assist with managing employee and contractor on-boarding.
· Assist with administering benefits & perks, recognition programs, and cultural initiatives.
· Assist in procurement of materials for Jobs.
· Invoice and collect rent from tenants.
· Assist when needed to manage/complete updates with photos to customers.
· Assist in managing the office upkeep, appearance and supplies.
· Assist Office Manager with IT issues or projects and with partnering with IT team and following up on items through completion supporting the network, office users and troubleshooting.
· Assist Office Manager with Travel Logistics & Support for employee flights, car/truck reservations, lodging and labor for Company.
· Inter-Departmental Support - Provide backup support to the operations and client services teams.
· Maintain a safe and secure working environment.
· Assists hiring process for self-performing crew. (schedule interviews, update the spreadsheet, correspond with candidates).
· Assist with maintaining the company Contractor’s licenses.
· Assist in managing the collection and record keeping of Subcontractor COI’s.
· Refine and maintain filing systems. Ensures corporate filing system is up to date by keeping accurate copies of projects, correspondence, and/or other related materials.
· Perform quality controls and monitor production KPIs.
· Find ways to increase quality of customer service.
· Special projects as assigned by manager.
· Manage other areas or perform additional tasks as directed.
Qualifications and Skills
Minimum Qualifications:
· Excellent QuickBooks knowledge and experience.
· Payroll processing experience.
· Be able to exercise independent judgement and discretion.
· Strong Microsoft office skills: Excel, Word, PowerPoint, Outlook and maintain calendars using Outlook.
· Accounts Receivable experience.
· Effective oral and written communication skills.
· Strong knowledge of office management responsibilities, systems and procedures.
· Excellent time management skills and ability to multi-task and prioritize work.
· Attentive to detail and are a problem solver.
· Friendly, welcoming, energetic, and professional demeanor.
· 5 years’ experience as bookkeeper.
· People management skills.
· Ability to work closely and professionally with Management including all levels throughout the organization, and external suppliers.
· Has Initiative
· Is Self-motivated
· Demonstrated experience and desire to be a key contributor to confidential collaboration and decision making at the executive level
· Exceptional leadership & people management capabilities preferably in a heavy training and mentorship environment
· A high-level of detail-oriented organizational style with the ability to manage other office staff
· You can lift 25 lbs.

· Comfortable working in a quick paced environment

Job Type: Full-time
Pay: $45,000.00 - $62,000.00 per year
