Key Objectives
Serve as a distinguished representative of Merlin Entertainments and its associated brands, embodying a professional yet approachable demeanor to foster a welcoming, friendly, and supportive image of oneself, Directors, the Company, and the office environment.
- Effectively manage the dynamic and busy schedules of Directors, adeptly handling calendar changes and conflicts, while ensuring meeting rooms are arranged and lunches are coordinated as necessary. Provide essential documents to Directors and delegates ahead of meetings.

Proactively draft and compose letters, emails, reports, and memoranda to support various organizational initiatives, demonstrating initiative and self-motivation.

Develop and maintain an annual calendar of regular Divisional Directors and Senior Leadership Team (SLT) meetings, coordinating trips around these schedules as required. Keep track of SLT holidays.

Skillfully prepare accurate expense claims through SAP Concur, meticulously attaching receipts and flagging any policy breaches.

Assist in creating slide deck presentations, executive board papers, and other necessary documents, including annual budgets, business plans, and meeting presentations.

Deliver timely business updates to relevant stakeholders, covering topics such as guest experience, financials, and ad-hoc analyses upon request.

Maintain regular communication with Directors to ensure the smooth execution of business-critical tasks.

Provide support for projects, coordinating with SLT members, general managers, and contractors as needed, particularly for office moves or refurbishments.

Offer administrative assistance to other Directors as required, fostering a collaborative work environment.

Establish communication channels with Merlin Senior Executives and consult with their Executive Assistants before their visits.

Cultivate relationships with Merlin partners and organizations near our attractions, fostering positive connections and collaborations.

Take the initiative to organize office files and implement systems for tracking contacts, projects, and information, ensuring timely responses and follow-ups.

Continuously evaluate administrative support systems to enhance productivity and operational efficiency.

Provide general office operational support, including overseeing the reception area and mailroom, and assisting with operational tasks and special projects as needed.
Qualifications & Experience:
Requirements:
Experience: Minimum of 5 years of relevant experience as an Executive Assistant or in a similar role.
Administrative Skills: Proficient in managing busy calendars, scheduling meetings, coordinating travel arrangements, and handling confidential information with discretion.
Communication: Excellent written and verbal communication skills, with the ability to compose professional correspondence and interact effectively with internal and external stakeholders.
Organizational Abilities: Strong organizational skills with the capability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
Attention to Detail: Meticulous attention to detail, ensuring accuracy in all administrative tasks, including expense reporting, document preparation, and meeting coordination.
Problem-Solving: Proactive problem-solving skills, anticipating needs, and resolving issues independently as they arise.
Technical Proficiency: Proficient in Microsoft Office Suite and experience with calendar management software and expense reporting systems.
Professionalism: Exemplary professionalism and discretion when handling sensitive information and interacting with executives and clients.
Flexibility: Ability to adapt to changing priorities and work effectively under pressure, maintaining composure and efficiency.
