Client Support Lead -(Pool Management)
JOB SUMMARY: We are seeking a highly organized and detail-oriented individual to join our team as a Pool Service Administration Specialist. The ideal candidate will play a crucial role in managing the administrative aspects of our pool service operations, including scripting bids, processing orders, and maintaining effective communication with clients. This is an administrative role in an office environment.
ESSENTIAL JOB FUNCTIONS:
Bid Scripting:
- Develop accurate and detailed bids for pool service projects.
- Collaborate with the sales team to understand client requirements and project specifications.
- Utilize industry knowledge to create competitive and compelling bids.
Order Processing:
- Efficiently process and manage incoming pool service orders.
- Coordinate with vendor network and internal team to ensure timely completion of work orders.
- Maintain accurate records of orders, deliveries, and inventory levels.
Client Communications:
- Communicate professionally and effectively with clients through email and phone calls.
- Provide timely responses to client inquiries, addressing concerns and providing necessary information.
- Keep clients informed about the status of their pool service projects.
Documentation and Record Keeping:
- Maintain organized and up-to-date documentation of all bids, orders, and client communications.
- Create and manage a centralized database for easy access to project-related information.
Collaboration:
- Collaborate with various departments, including sales, operations, and finance, to ensure seamless workflow.
- Participate in team meetings to provide updates on the status of bids, orders, and client interactions.
- Regular and predictable attendance and punctuality are essential functions of the position in order to facilitate collaboration and teamwork, timely client interaction and working with company equipment during scheduled business hours.
- Other tasks as assigned.

KEY COMPETENCIES:
- Proven experience in administrative roles, preferably in a service-oriented industry.

- Proficiency in scripting bids and creating professional documentation.
- Ability to interact professionally with clients and provide exceptional customer service.
- Ability to work independently.
- Familiarity with pool service operations and industry practices is a plus.
EDUCATION & EXPERIENCE:
- High school diploma or equivalent
- Proficient in Microsoft Office Suite or similar software
- 2+ years of experience in the Mortgage Field Service Industry preferred.
TRAVEL: No Travel is required
SUPERVISORY RESPONSIBILITIES: Supervision of other employees is not exercised.

The incumbent typically works in an office environment and uses a computer, telephone and other office equipment as needed to perform duties. The noise level in the work environment is typical of that of an office. Incumbent may encounter frequent interruptions throughout the workday. The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 20 pounds. This position requires prolonged periods sitting at a desk and working on a computer.
