Job Purpose
The Project Coordinator has the primary responsibility of managing and delivering top quality creative and branded events for Toast of the Town and/or Government Event Services clients within budget.
Deliverables
- Understanding the client’s targeted event outcome; working within established budgets and timelines to achieve 100% client satisfaction.
- Coordinate all details of events, from pre-planning to load out, to ensure accuracy, professionalism and consistent brand presentation.
- In Person Events Specific Points:
- Organize facilities including audio-visual, décor placement, on-site catering oversight.
- Event set up and break down as appropriate.
- Coordinate logistics with vendors in advance to ensure quality.
- Virtual Events Specific Points:
- Build on screen graphics and interactive show elements
- Coordinate with virtual production vendors
- All Events:
- Coordinate staff as required to ensure smooth operations of all events..
- Coordinate “day of” logistics and staff to ensure smooth running operations and positive attendee experience.
- Updating project registration systems and online conference management software.
- Coordinating the consultation process with all stakeholders ensuring an accurate and secure audit trail of documents and key decisions.
- Assist in the preparation and distribution of materials and packets required for events.
- Ensure a safe, enjoyable environment with punctual start times, and smooth registration.
- Invitee list management and follow-on booking or reporting to the team.
- Maintain accurate and timely organization of vendors, participants and committee lists.
- Update event budgets, notifying leadership team immediately of any over-budget concerns.
- Prepare post-event reports as required by company procedures.
- Logging and tracking all Project Plans and project documentation.
- Attend and recap all pre-event meetings, walkthroughs, and quality checks for online and in-person events.
- Respond to telephone inquiries and convey accurate information promptly and appropriately.

Skills - Essential
- Graphic design experience preferred

- Flexible Hours and the ability to work occasional long hours including nights and weekends
Experience - Essential
- Experience of working in a pressured environment and effectively managing competing demands in short timescales

- Ability to work with clients and team remotely as well as on-site as required
- Minimum 2-year Event Experience
