ABOUT THE JOB
Your role as a Personal Assistant is pivotal to our CEO's efficiency and effectiveness.
You'll be responsible for managing their calendar, coordinating events, handling administrative tasks, and ensuring their professional and personal commitments are managed seamlessly.
Calendar and Schedule Management
- Coordinate and manage the CEO's calendar, including scheduling speaking engagements, events, and launches.
- Set reminders for important deadlines, meetings, and events.
Event Coordination and Logistics
- Assist in planning and organizing events, from venue selection to logistics coordination.
- Handle event-related tasks such as guest invitations, RSVP tracking, and material preparation.
Travel Arrangements
- Research and book travel accommodations for speaking engagements, events, and launches.
- Ensure all travel details are organized and communicated clearly to the CEO.
Vendor Management
- Source and liaise with vendors for various needs, such as ordering supplies, equipment, and event materials.
- Manage vendor relationships and negotiate terms when necessary.
Household Management
- Handle household-related tasks, including ordering groceries, managing repairs, and organizing household deliveries.
- Ensure the CEO's home runs smoothly, allowing them to focus on their professional commitments.
Communication and Correspondence
- Screen and prioritize emails, calls, and messages for the CEO.
- Draft and send emails or correspondence on behalf of the CEO, ensuring professionalism and accuracy.
Research and Information Gathering
- Research industry trends, potential speaking opportunities, and event themes.
- Compile information for presentations, speeches, and launches.
Documentation and Filing
- Organize and maintain digital and physical files, ensuring easy access to important documents.
- Create and update spreadsheets, presentations, and reports as needed.
Expense Tracking and Reimbursements
- Keep track of the CEO's expenses, ensuring accurate record-keeping for reimbursement and tax purposes.
- Prepare expense reports and manage reimbursement processes.
Social Media Support
- Assist in managing the CEO's social media presence by scheduling posts, responding to comments, and engaging with the audience.
Personal Errands and Tasks
- Handle personal tasks such as scheduling appointments, making reservations, and running errands as needed.
Priority Management
- Help the CEO prioritize tasks and commitments, ensuring they are focusing on high-impact activities.
Confidentiality and Discretion
- Maintain strict confidentiality regarding sensitive information and conversations.
Ad hoc Projects
- Assist with special projects, ad hoc tasks, and assignments as they arise.
REQUIRED QUALIFICATIONS + KNOWLEDGE
- Proven experience as a Personal Assistant or in a similar administrative support role.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Proficiency in calendar management, event coordination, and travel arrangements.
- Excellent communication skills, both written and verbal, for effective interaction with stakeholders.
- Attention to detail and accuracy in handling tasks, correspondence, and documentation.
- Familiarity with vendor management, including negotiation and relationship building.
- Ability to maintain discretion and confidentiality when handling sensitive information.
- Proficiency in Microsoft Office suite, email platforms, and digital communication tools.
- Strong problem-solving skills and adaptability to navigate dynamic environments.
- Bachelor's degree in a relevant field preferred, but not mandatory.
