POSITION TITLE: Events & Experience Coordinator
REPORTS TO: Events & Sales Manager
POSITION SUMMARY
The Events & Experience Coordinator role is dedicated to curating and enhancing the J&H brand experience through a variety of initiatives, ensuring a vibrant atmosphere consistently. Additionally, the coordinator oversees J&H's weekly activations to maintain customer engagement. They also play a vital role in supporting major events, while attending activations for all KGH brands alongside the Marketing team. Furthermore, responsibilities include managing inventory for merchandise, facilitating purchase order communication with the Operations team, and providing support to the Events & Sales Manager as required.
PRIMARY JOB DUTIES
- Focus primarily on enhancing the J&H experience through daily events, ensuring there's something happening every day to engage customers.
- Organize and oversee J&H's weekly activations, ensuring consistent and exciting programming to attract and retain customers.
- Provide valuable support for major events, assisting in planning and execution to ensure their success.
- Attend activations events for all KGH brands alongside the Marketing team, contributing to brand representation and community engagement.
- Manage inventory for merchandise, ensuring adequate stock levels and facilitating smooth procurement processes through purchase order communication with the Operations team.
- Collaborate with internal departments to plan, organize, and coordinate a variety of events aimed at generating brand awareness, staying relevant with trends, and engaging with the local community in Miami.
- Develop creative events concepts and themes that resonate with the target audience and align with current trends in the hospitality industry.
- Coordinate with marketing and public relations teams to ensure events are aligned with brand messaging and objectives, and create detailed event timelines and schedules to oversee their smooth execution.
- Source and liaise with external vendors, negotiate contracts, and manage vendor relationships to enhance event experiences, ensuring adherence to agreed-upon terms and standards.
- Assist in developing event budgets, track expenses, process invoices, and reconcile accounts related to events and experiences, ensuring adherence to budgetary constraints and effective inventory management.
- Collaborate with the marketing team to promote events through various channels, including social media, email marketing, and website updates, and assist in creating promotional materials such as event flyers, brochures, and online advertisements to ensure consistent branding and messaging.
EVENTS
- Plan, organize, and coordinate diverse events with the goal of bolstering brand visibility, staying attuned to trends, and fostering community engagement within Miami.
- Devise innovative event concepts and themes tailored to our target demographic, reflecting contemporary trends prevalent in the hospitality sector.
- Collaborate closely with internal departments like marketing and public relations to guarantee events are consistent with brand messaging and overarching objectives.
- Establish comprehensive event timelines and schedules, overseeing their implementation to guarantee seamless event execution.
VENDOR MANAGEMENT
- Source and establish partnerships with external vendors, such as florists, entertainers, and decorators, to elevate the overall event experience.
- Negotiate contracts and agreements with vendors to secure favorable terms and competitive pricing, while also ensuring the delivery of high-quality services.
- Maintain ongoing vendor relationships, overseeing their performance and ensuring compliance with contractual terms and service standards.
BUDGET MANAGEMENT
- Aid in the formulation of event budgets, ensuring alignment with financial parameters and objectives.
- Monitor expenses closely, handling invoice processing and account reconciliation for all event-related expenditures.
- Manage inventory to ensure availability of necessary resources for event execution.
MARKETING AND PROMOTION
- Work closely with the marketing team to devise comprehensive strategies for event promotion across diverse platforms, encompassing social media, email marketing, and website updates.
- Contribute to the development of promotional materials, including event flyers, brochures, and online advertisements, ensuring alignment with branding guidelines and messaging.
MINIMUM REQUIREMENTS
- Minimum 2 years of Marketing and Events Coordinator experience
- Proof of portfolio including media placements, writing samples, leads, PR campaigns, media and news
outlets, clients, and planned events
- Ability to work well in a fast-paced environment and function effectively within set deadlines
- Excellent organizational skills
- Strong verbal and written communication skills
- Proficient with digital marketing tools and software programs including Mailchimp, Adobe InDesign, and
social media platforms
- Customer service oriented
- Awareness of different media agendas
