We have an exciting new opportunity for a Virtual Assistant in our Commercial Lines Department at Tedford Insurance.
GENERAL SUMMARY:
The Virtual Assistant provides clerical document retrieval support to the Commercial Lines Department. This role is responsible for obtaining and organizing important documentation related to insurance policies and claims in a virtual environment.
PRIMARY RESPONSIBILITIES:
- Conducting research and retrieving policy and claims-related documentation from various sources, including internal databases, online resources, and other external sources.
- Maintaining accurate and up-to-date records of all retrieved documents and information, using electronic record-keeping systems.
- Verifying the authenticity and accuracy of all retrieved documents, ensuring that they meet the necessary legal and regulatory requirements.
- Communicating with internal stakeholders to provide them with the necessary documents and information.
- Collaborating with other members of the virtual document retrieval team to develop and implement efficient and effective document retrieval processes.
- Participating in training programs and professional development opportunities to stay up-to-date with the latest technologies and best practices related to document retrieval.
- Maintaining strict confidentiality and security of all documents and information retrieved, ensuring compliance with all relevant privacy and data protection regulations.
- Providing excellent customer service to all internal stakeholders, responding to their queries and requests in a timely and professional manner.
- Identifying opportunities to improve document retrieval processes and suggesting new ideas to enhance efficiency and accuracy.
- Adhering to all company policies and procedures, as well as all relevant legal and regulatory requirements.
KNOWLEDGE, SKILLS & ABILITIES:
- Exceptional verbal and written communication skills.
- Quality Management - demonstrates attention to details.
- Knowledge of commercial insurance laws preferred.
- Knowledge of AMS360 and/or related software preferred.
- Proficient with Outlook and Microsoft Office Suite.
- Proficient in typing and data entry.
EDUCATION, LICENSES AND EXPERIENCE:
- High School Diploma or equivalent required.
- Experience in a Commercial Property & Casualty Insurance Agency preferred.
