Job Description: As an Administrative Assistant, you will play a crucial role in supporting our daily operations and ensuring the smooth functioning of our office. Your exceptional organizational skills, attention to detail, and proactive approach will be invaluable in coordinating various tasks and activities efficiently. You will collaborate closely with various teams and provide essential administrative support to enable our organization to achieve its goals.
Responsibilities:
1. Front Desk Management: Greet company visitors and clients, answer incoming calls, and provide a friendly and professional first point of contact for clients, partners, and employees.
2. Calendar Management: Coordinate and manage schedules, appointments, and meetings for executives and team members, ensuring all commitments are well-organized and efficiently scheduled.
3. Documentation and Data Management: Organize and maintain physical and digital records, including confidential files, reports, and documents.
4. Correspondence: Draft and edit emails, memos, and other business-related communications as needed.
5. Supplies and Inventory: Monitor supplies inventory and ensure adequate stock levels are maintained. Place orders when necessary to ensure seamless operations.
6. Travel Arrangements: Assist in making travel arrangements for employees, including flights, accommodations, and transportation.
7. Event Coordination: Help plan and organize company events, meetings, conferences, and other gatherings, providing logistical support as required.
8. Assist with Financial Tasks: Collaborate with the finance department to process expense reports and invoices, keeping accurate records.
9. Assist with HR Tasks: Support the HR team in various tasks, such as employee onboarding, maintaining personnel files, and coordinating training sessions.
10. General Administrative Support: Handle ad hoc administrative tasks as assigned by management, contributing to the overall efficiency of the office.
11. Daily Operations: Getting and recording all data from day to day operations and putting it into a daily recap.
12. Shipping: Logging all shipping and receiving documents.
13. Inventory: Assisting in logging and recording all inventory needs.
14. Compliance: Assisting and making sure that all of our day to day operations are in compliance with local and state labor regulations.
Job Type: Full-time
Pay: $12.00 - $18.00 per hour
Schedule:
- Monday to Friday
- Weekends as needed
