Position Summary
The Office Associate performs routine clerical, secretarial and administrative work in answering telephones, greeting guests, and providing customer assistance, as well as making sure office is presentable and kitchen and coffee stations are always stocked.
Duties and Responsibilities
- Cover Front Desk when Office Assistant goes to lunch and bathroom breaks.
- Assist Mail Room when needed.
- Assist Office Assistant with conference room scheduling.
- Greet scheduled visitors (follow PNS greet protocol) and conduct to appropriate person or conference room.
- Maintain all kitchen, coffee stations and conference rooms stocked and clean. Making sure Kitchen appliances are always clean after daily use.
- Assist in coordinating lunch for guests and/or meetings when needed.
- File, organize, scan, copy and fax documents as needed.
- Type reports, memos, letters, and other documents as requested.
- File and retrieve corporate documents, records, and reports.
- Special Projects as assigned or directed
Knowledge
- High School Diploma required. Clerical experience preferred.
Skills
Must possess clerical skills, reporting skills, administrative writing skills, Microsoft Office, and Excel skills. Must also be organized, maintain inventory control, time management, collaboration skills, personal effectiveness/credibility, flexibility, stress management/composure and verbal communication.
