Job Overview:
Multifamily Property Management Company, specializing in affordable housing, seeks motivated individual to join our team as the Legal and Regulatory Compliance Coordinator. This role will report to the Director of Property Management (DPM) and requires the ability to manage a number of tasks simultaneously while meeting deadlines with good organizational and interpersonal skills. Knowledge of Yardi property management software is preferred.
Duties:
Legal
- monitor Tenant Rent delinquencies and prepare and distribute delinquency reports for weekly staff meetings
- prepare and disseminate tenant late notices
- oversee collection efforts of past-due tenant rent by Project Administrators and prepare regular progress reports on collection efforts
- pursue ERAP, or other governmental funding, of delinquent rent for eligible tenants and track processing progress
- initiate legal proceedings against delinquent tenants with outside counsel, provide all necessary documentation for cases/court hearings, monitor the progress of all tenant legal proceedings, and attend court proceedings when necessary
- review and approve all charges from law firms and ensure that tenants are charged back for same
- track all court stipulations engendered by legal proceedings, issue work orders to address court stipulations, and track timely completion of required work on established access dates
- retain firm(s) to pursue collection of past-due rent from prior tenants and monitor progress of collection efforts
- recommend amounts of any prudent bad debt write-offs for all properties based on status of collection efforts
Compliance
- obtain new Section 8 income limits annually and ensure that they are input in Yardi property management software
- ensure that all required recertification notices are sent to tenants, monitor pending recertifications, print and distribute pending/past due recertification reports for weekly staff meetings, and follow-up with Project Administrators on the status of all past-due recertifications
- track move-in/move-out/unit transfer transactions, ensure transmittal of proper documentation and monies to home office, and confirm proper data entry in Yardi property management software
- conduct on-site random audits of tenant files no less than quarterly in order to confirm accuracy of underwriting, completeness of required documentation, and readiness for annual Management and Occupancy Reviews
- review all Management and Occupancy Reviews and assist DPM and Project Administrators as necessary in responding to same.
- monitor implementation of established tenant transfer policy
- supervise preparation of all triannual Utility Consumption and annual Program Utilization Reports
- track all HAP contract expirations and prepare renewal application packages
- prepare annual OCAF applications, track processing progress and ensure timely execution of revised rent schedules.
- order RCS’s and prepare applications for five-year rent resets on MU2M projects
- oversee processing and timely distribution of all tenant rent invoices and notices
- ensure the timely preparation and distribution of all documentation required by any regulatory agency having jurisdiction over the company properties such as Fire Safety Plans, Window Guard Forms, Lead-based Paint notices, etc.
Miscellaneous
- Transmit all liability cases to insurers and collect all required relevant documentation
- Renew triannual boiler permits
Qualifications:
- Paralegal background preferred

- Exceptional attention to detail and analytical skills
- Strong communication skills with the ability to effectively collaborate with cross-functional teams
