Front Desk HR Coordinator
Reports to: HR/Payroll Manager
Exempt/Non-Exempt Status: Non-Exempt
Division: Taylor Farms Northwest
Purpose of Position: Assist the HR department, employees, and visitors, and acting as a positive and professional representative of the Company.
· Assist the Recruiter with scheduling candidates for interviews, paperwork, and orientation duties
· Assist the Recruiter with temporary employee reports for accounting, set-up in Kronos, coordinate, and present orientations.
· Print payroll statements per employee requests
· Assist with employee questions using provided translation services if needed
· Summon employees to the office using interoffice communications
· Answer company & department phone calls and greet employees, visitors, and guests in a friendly and timely fashion
· Schedule meetings and interviews using Microsoft Teams, Outlook, etc.
· Scan and upload documents
· Oversee the parking program
· Assist with ordering supplies including jackets, boots, and kitchen supplies
· Assist with setting up and/or replacing, terminating security badges
· Photocopying, scanning, emails, and other clerical functions
· Run department reports as needed
· Manage the attendance call-out messages
· Ensure employee self-service handouts in the lunchroom are replenished
· File documents into appropriate employee personnel files
· Retrieve mail and prepare correspondence as requested
· Enroll employees in the company communication app (Beekeeper)
· Consistent and regular attendance required for this role
Required Qualifications and Experience:
· High school diploma or GED
· Two years of office administrative experience, preferably in an HR department
· Able to read, interpret, and clearly write and speak English
· Outstanding telephone etiquette
· Working knowledge of Microsoft Word, Excel, and PowerPoint
· A can-do attitude with a desire to learn, proactive and positive
· Utilizes critical thinking skills to accomplish goals
· Understands the importance of customer service
· Excellent verbal and written English, able to communicate with authority and diplomacy
· Excellent attendance; punctual, flexible, and reliable
· Master at protecting confidential and sensitive information
· Prides self on accuracy with an attention to detail
· Thrives in a high-volume environment and is deadline driven
· Independent; can be successful in role with minimal supervision
Physical Requirements:
This position is in a professional office environment that routinely uses standard office equipment such as copiers, computers, phones, filing cabinets and fax machines. There are minimal temperature fluctuations and low noise levels. This is largely a sedentary role; however, some activity requiring the ability to walk, move, bend or stand is necessary.
Constantly = More than two/thirds of the day
Frequently = One/third - two/thirds of the day
Occasionally = Up to one/third of the day
Sitting (Frequently): Most duties are performed at a reception desk; stand-up desk is available upon request
Use of Hands/Fingers (Constantly): Operating office equipment such as keyboard, 10-key, copy machine/scanner
Standing/Walking (Occasionally): Navigating around the office, parking lot, copy machine, and storage rooms
Climbing (Occasionally): When access to upstairs office is needed
Stoop, kneel, crouch, crawl (Occasionally): May need to position self to get to filing cabinets or under desk
Talking/hearing (Constantly): Must be able to effectively communication verbally in order to provide high level of customer service to employees
Seeing/Visual Acuity (Constantly): Computer work, badging, parking administration and monitoring
Taste/Smell: N/A
Lifting/Pushing/Pulling (Occasionally): Move or transport office supplies weighing up to 20 pounds.
