Responsibilities
1. Patient Communication and Experience
- Greet patients warmly, ensuring a welcoming and comfortable environment
- Engage with patients professionally in person, over the phone, and via email to enhance their experience
- Provide clear and accurate information about clinic services, policies, and procedures
- Relay messages promptly and ensure appropriate follow-up to address patient needs
- Uphold the clinic’s high standards of patient service and satisfaction
- Offer refreshments (tea, coffee, water) to patients upon arrival
2. Appointment Coordination
- Schedule patient appointments efficiently, ensuring smooth integration of multiple provider schedules
- Use sound judgment to prioritize appointments based on patient needs and urgency
- Contact patients to confirm appointments and fill open slots proactively
- Coordinate treatment schedules with staff and specialty providers, providing patients with co-payment information and necessary details
3. Patient Records and Data Management
- Review and update patient records before appointments, ensuring accuracy and completeness
- Collect and verify insurance information, ensuring proper setup in the dental practice system
- Communicate upcoming treatment charges and establish straightforward payment plans with patients
- Collect payments at the time of service, maintaining accurate records of transactions
- Perform data entry tasks efficiently, ensuring patient information is kept current and well-organized
4. Supportive Office Environment
- Maintain office and coworker calendars to support smooth scheduling and coordination
- Organize and manage important documents, ensuring easy accessibility and order
- Assist in creating a positive and supportive environment for both patients and staff
- Engage in various clerical tasks to support the daily operations of the clinic
- Contribute to team discussions and share ideas to enhance clinic operations and patient experience
5. Additional Responsibilities
- Familiarity with other dental clerical roles, providing backup support as needed
- Participating in on-site marketing activities and improving patient communication through collaborative work with the marketing team
6. Required Skills and Software Proficiency
- Strong communication skills, with a focus on patient interaction and experience
- Excellent organizational abilities and attention to detail
- Knowledge of Open Dental software
- Solid data entry skills and knowledge of Microsoft Office (Google Workspace) suite
- Experience with CallRail cloud software is a plus
