A busy family needs a personal assistant to help with their busy schedule and provide day-to-day general support as needed. General responsibilities include efficient calendar and appointment management, personal errands, shopping, ensuring their daily schedule is running smoothly and updating the principals of any changes throughout the day.
Ideal candidates must be quick on their feet, proactive, detail oriented, intuitive, organized, effective communicators, very positive, hardworking, organized, and naturally helpful.
Location: Manhattan, NYC
Hours: Monday – Friday from 9:00am - 6:00pm
Salary: $100-140K DOE
Benefits: 10 days of PTO, 5 sick days and a handful of federal holidays
The Family: Family of 7 including 5 older children; 1 cat & 3 dogs
General Administrative
- Preparing appropriate, efficient and timely responses to all the Principal’s requests, whether made in person, electronically or otherwise
- Managing access to employer by screening, drafting, and issuing correspondence on their behalf
- Pre-empting the Principal’s needs and acting with initiative to take some responsibility away from the Principal
- Assisting with research for special projects
- Managing and coordinating the family’s diaries and calendars as needed
- Ensuring availability and flexibility, including managing last minute requests beyond office hours, over the weekend and holidays
Family Support
- Helping with the day-to-day requests as needed
- Managing family suppliers and emergency contact lists
- Organizing family travel and holidays including transportation, activities and accommodation when requested.
- Managing and coordinating the family’s travel calendars as needed
- Liaising with any vendors/ contractors, e.g. computer support, phone support, utilities
Property Management
- Ensuring property is clean, organized and very well maintained at all times
- Working from the family’s home with their home support team to oversee suppliers, contractors and various appointments as needed
- Monitoring the progress of projects, to ensure that they are being prioritized in accordance with the Principal’s needs
- Ensuring the property is ‘guest ready’, to include; checking that all equipment is working, undertaking walk throughs as necessary and keeping the household fully stocked with necessary supplies
- Organizing and assisting with event planning
Accounts & Bill Pay
- Keeping a record of all household expenses – preparing light expense reports
Asset Maintenance & Oversight
- Inventorying assets; cars, art, homes etc.
- Registering all assets as needed, ensuring insurance and appropriate required documentation are taken care of
Travel
- Travelling as needed (South America, the Caribbean & Europe so must have a passport)
- Property set up: ensure the house is ready - supplies are ordered, relevant staff know their duties, suitcases are unpacked – ensuring the house is fully ready.

Requirements
- Strong command of English language; good communication skills, both written and verbal
- Legally able to work within the United States
- Must have a valid Passport for travel
- Happy to travel to family properties as needed
- Must be happy to work with pets (1 cat & 3 dogs)
- Excellent references required from both current and previous employers

Pay: $100,000.00 - $135,000.00 per year
