Position Summary: This is an excellent opportunity for a highly organized, self-motivated and customer service-oriented individual to join dynamic and supportive HR and Finance teams. This position will support the recruiting and staffing process, training and development activities, volunteer and employee engagement efforts, accounts payable functions, credit card processing and support HR and Finance departments with special projects.
Status: Non-Exempt (Hourly); part time, 22- 28 hours per week
Measurables: Employee and volunteer engagement, compliant and efficient HR processes, accurate and timely accounts payable and credit card processing.
Human Resources
· Support the recruiting and staffing process by conducting phone screens and reference checks, scheduling interviews, and maintaining candidate files.
· Guide candidates through the pre-employment process including initiating drug screens, background checks and the setup of new employee accounts in the HRIS. Follow up with new hires to ensure onboarding documents are completed on time.
· Prepare and maintain HR new hire/orientation materials for new staff and volunteers.
· Assist with employee and volunteer, communications, monthly meetings, All Teams Meetings, events, and special projects.
· Maintain the volunteer database with accurate and complete volunteer demographic information and timely entry of volunteer hours.
· Assist with establishing digital files (from paper), maintaining accurate records and retrieving reports.
Finance
· Support Account Payable functions: Match invoices, receiving slips and purchase orders or contracts, verifying pricing and quantities. Code invoices for entry into system. Enter invoices into the Accounts Payable system.
· Credit Card Activity: Monitor and record staff credit card activity. Collect and review supporting documentation, match invoices, receiving slips and purchase orders. Record transactions in to accounting system.
· Assist with maintaining digital files and provide support for various administrative projects.
Education, Experience & Skill Requirements:
· Appropriate work experience and education of qualified candidates may include an associate degree or bachelor’s degree in business, human resources, human services, accounting or related subject plus 1 year experience in human resources, accounting, or in an administrative assistant role.
· Excellent verbal and written communication skills.
· Excellent interpersonal skills with the ability to manage sensitive and confidential information and situations with tact, professionalism, and diplomacy.
· Excellent organizational skills and attention to detail.
· Proficient with Microsoft Office Suite.
· Proficient with or ability to quickly learn human resource information system (HRIS), volunteer and accounting database management software or similar computer applications.
· Knowledge of office management systems and procedures.
· Passion for learning about the Air Zoo and telling our story to a wide audience.

SCHEDULE: Part time-days (22- 28 hours per week between the two departments depending on organizational needs) with occasional evening or weekend events. The work is performed for this position is in-office 100% at the Air Zoo in Portage, Michigan.
COMPENSATION: $15-17 per hour, commensurate with education and experience
