Pay Range: Hiring/Starting pay range is $80,000 - $92,000/annually, based on experience.

Position Summary
An Executive Assistant provides high-level administrative support to top executives within an organization. The role involves managing schedules, coordinating meetings, handling communication, and performing various administrative tasks to ensure the smooth functioning of the executive's office.
Essential Job Duties

Calendar Management:
-
Organizes and manages the executives' calendar, including scheduling meetings, appointments, and travel arrangements.

Coordinates with internal and external stakeholders to ensure efficient use of time and resolve scheduling conflicts.

Communication and Correspondence:
-
Acts as a primary point of contact, screening and managing phone calls, emails, and other correspondence.

Drafts, proofreads, and edits documents, presentations, and reports on behalf of the executive team.

Information Management:

Maintains and organizes files, records, and documents, ensuring accuracy and confidentiality.

Conducts research, gathers data, and compiles reports as requested by executives.

Meeting Coordination:

Prepares meeting agendas, takes minutes, and distributes follow-up action items.

Arranges logistics for meetings, including booking venues, coordinating technology, and catering if necessary.

Travel Arrangements:

Coordinates travel itineraries, accommodations, and transportation for business trips.
- Administrative Support:

Provides general administrative support, such as expense reporting, invoice processing, and managing office supplies.

Assists in special projects and initiatives as assigned.

Relationship Management:

Cultivates and maintains positive relationships with internal teams, clients, partners, and stakeholders.

Serves as a liaison between executives and various departments, relaying information and facilitating communication.

Other duties as assigned.
Knowledge, Skills, and Abilities

Proven experience as an Executive Assistant or similar role.

Excellent organizational and time-management skills.

Proficiency in office software and communication tools (e.g., Microsoft Office, G Suite, video conferencing platforms).

Strong written and verbal communication abilities.

Discretion and confidentiality in handling sensitive information.

Ability to multitask and prioritize tasks effectively in a fast-paced environment.

Attention to detail and accuracy in completing tasks.

Education
Bachelor's degree or equivalent work experience.
Experience
Five (5) years of experience working in an administrative support role, with at least two (2) years of experience supporting high-level executives.
