THE POSITION:
As the Program Assistant for the Housing Rehabilitation Department, you are the first point of contact for households seeking assistance to rehabilitate or reconstruct their homes. The position will require a substantial amount of communication by phone, desk work using Microsoft Word, Excel, and Outlook, faxing, filing, copying, scanning, occasional driving, office cleaning, and performing general errands. You must be self-motivated to work independently and meet deadlines.
SKILLS AND ABILITIES REQUIRED:
- Speak, Read, and Write in Spanish
- Intermediate Level in Word and Excel
- Must be highly organized, pay high attention to detail, and work independently
DUTIES:
- Screens and routes department telephone calls and responds to inquiries from the public and contractors
- Completes questionnaires with homeowner by phone to determine potential program eligibility
- Prepares and updates marketing materials and income limits
- Speaks and writes in Spanish when necessary
- Acts as receptionist for office
- Assists applicants in the completion of necessary forms
- Gathers, and performs verifications required in determining eligibility or continued eligibility for applicant/recipients
- Gathers, reviews, proofs, and keeps statistical data and records
- Prepares and sends verification forms
- Communicates with households to acquire documentation required to determine eligibility and/or complete project file
- Maintains waiting list of eligible applicants and communicates with households regarding status
- Maintains applicant/recipient files
- Schedules appointments and contractor walk throughs
- Provides general information and answers inquiries regarding available program assistance
- May be required to meet with homeowners at their homes to facilitate homeowners signing documentation and to take photos of project work
- Works in Excel to maintain spreadsheets
- Communicates and attends meetings with manager, clients, and multiple jurisdictions when necessary
- Assembles bid document packages and emails contractors
- General work in Excel, Word, and Publisher
- Performs general property research
- Provides general administrative support of Housing Rehabilitation Department
- Other duties may be assigned as needed
- Keeps office and bathroom in a neat and clean condition
- Opens and secures office when necessary

Pay: From $21.00 per hour
