Administrative Assistant & Substitute Coordinator

Tessellations is a progressive K-8 non-profit school for gifted learners based in Cupertino, CA. Our mission is to provide challenging experiential education that recognizes and nurtures the individual strengths of gifted learners, empowering them to confidently express who they are and pursue a meaningful life. At Tessellations, community is a core value, as it is the reason our small and mighty school was able to form and thrive despite the global pandemic. Our team consists of passionate, qualified and dedicated staff from diverse backgrounds and includes nationally renowned gifted experts. Our first year was online only. In our second year, we quadrupled in size, and we also added our Nature Campus. We’re in our fourth year with excellent staff and student retention, and extremely high family satisfaction. We moved to a larger campus in order to house our growing population, and in Fall 2024 we will launch our high school.

Primary Responsibilities
- As front desk staff, professionally and warmly greet, assist, and answer questions of staff, students and visitors.
- Contribute to a positive,welcoming and community-oriented environment.
- Arrange substitute & duty coverage when staff members are absent.
- Monitor the attendance email account, enter daily attendance updates, and communicate daily with the Nature Connections team regarding attendance and program/student updates as needed
- Serve as a key point person for students who have been injured or are feeling unwell, by assisting with basic medical care and following up with parents when necessary.
- Contact families as needed to inform of injuries, student needs, or schedule changes.
- Manage and attend to incoming and outgoing communications via intercom system between staff and the office during the school day.
- Support Head of School and Head of K-8 with clerical and support tasks as needed - making copies, managing calendars, assisting with scheduling, ordering food for events, professional development event set-up, hosting visitors, etc.
- Maintain student records and digital files, including immunization records
- Support preparation and organization for school events, including graduation, school picture day, admissions tours, and parent events.
- Support annual student enrollment process, helping to organize paperwork, student files, and student medical binders and medications as needed.
- Sort and distribute incoming mail
- Assist with document preparation for staff and parents as needed
- Maintain and foster a safe and supportive environment where all students are heard, respected, and engaged
- Assist with recess duties and lunch duties as needed.
- Support the administrative team as appropriate and perform other duties as needed and assigned.
Requirements
- Strong verbal and written communication skills

- Strong ability to organize systems in physical and digital space
- Ability to apply common sense understanding and to carry out written and oral instructions with minimal direction
- Ability to multitask, prioritize and follow through
- Ability to proactively identify problems and needs, and then find/suggest solutions
- High proficiency with standard technology (GSuite in particular)
- Ability to respond in an emergency situation, and communicate with appropriate staff and/or emergency personnel
- Passing a criminal background check upon hire
- Able to lift up to 35 pounds
Bonus Points (not required)
- Prior experience working at a school
- Prior experience working with children
- Prior experience administering basic first aid
Compensation
Salary range: $60,000 - $70,000
