Phoenix is a major distributor and manufacturer of electronic, electrical and automotive wire and cable in North America. We also offer a wide range of complimentary products such as connectors, tubing/sleeving, and wire management products.
Our manufacturing facilities produce cable assemblies, wire harnesses and control panel assemblies for a wide range of industries. We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting the daily operations of our office. This is a part-time position with potential for additional hours in the future as the position evolves. The preferred hours of work will be from 8:00 am to noon, Monday to Friday.
Overview:
The Administrative Assistant will be responsible for overseeing order fulfillment, receiving purchase orders, invoicing sales orders, setting up new vendors and customers, assisting finance with accounts receivables, accounts payable, and timekeeping, and supporting procurement and production with administrative tasks and responsibilities. The Administrative Assistant may assist in troubleshooting and resolving complex issues and escalations to support the day-to-day operations of the business.
Essential Duties and Responsibilities:
- Order entry and validation
- Create work orders and prepare process sheet packets
- Receive purchase orders and invoice sales orders
- Order office and warehouse supplies including consumables
- Complete data entry, filing, scanning, and general clerical activities
- Collect transactions, track debits, and monitor financial records
- Create expense reports, billing, and entering payroll
- Prepare spreadsheets and other organizational tools to help facilitate projects
General Requirements:
- Basic understanding of Accounts Payable and Accounts Receivable
- Comfortable with Microsoft Office applications
- Strong, accurate clerical skills, data entry and typing
- Ability to work and collaborate with all levels of employees
- Effective communication skills both verbal and written
- Professional presence including integrity, creativity, commitment, and the ability to make sound decisions independently
- Ability to handle sensitive information with confidentiality and discretion
- Effective time management and multi-tasking skills
Education & Experience:
- High School diploma required, two-year post-secondary degree preferred
- Understanding of accounting best practices
- Computer literacy
- Outstanding written and verbal communication skills
Physical Requirements:
- Ability to frequently sit, stand, walk, reach, climb or balance, stoop, kneel, and crouch.
- Specific vision requirements include close vision and color vision.

- Our facility is open from 7:30 am – 4:00 pm Monday through Friday
- Hourly rate of $18.00
