About The Job
Operations is the backbone of what we do. The ideal candidate will have a multi-faceted role - chief administrator, client concierge, listings manager, and key stats tracker. Once you are trained you will help train new hires on our systems. It is your job to keep our many parts moving smoothly. You help set the tone of our 5-star client experience. As Director of Operations, you will have the key role in operating our top-producing team.

We are re looking for someone who is dedicated to providing a 5-star experience to our clients and our team. We are always looking through the lens of how we can better communicate, interact, and serve our clients so they become raving fans. We want to be the first and only real estate team our clients and customers consider when they need a real estate professional to refer to friends and family.
You should bring a can-do attitude, and be a self-starter – once you’re trained, you can go without too much supervision or need to be micromanaged. “You can have reasons or results and you can’t have both” is one of our mantras.
You must be comfortable dealing with things on the fly. No two transactions are exactly the same and our extensive checklists can’t handle every situation without any thought so we need to smooth out the creases. You should be resourceful, be comfortable on the phone, don’t take silence as an answer, and enjoy being appreciated for being a key member of our team.
This is mostly a 9-5 weekday position but we do allow flexibility for your life schedule. Real estate experience is a plus, however, anyone who is willing to learn and meets the other qualifications will make an excellent candidate. Applicants must also have a working vehicle. We are designed to have your role be virtual, but we could do something in our Lakeview or Lincoln Park offices for the right candidate.
Responsibilities
- Listing management – drafting listing paperwork, drafting MLS listings, gathering information from homeowners and condo associations, scheduling staging, referring vendors, keeping track of keys
- Transaction management – Acting a s project manager once a sales transaction is initiated - communicate with lenders, management companies, attorneys, other agent and clients to make sure the closing happens on time every time.
- Listing management – drafting listing paperwork, drafting MLS listings, gathering information from homeowners and condo associations, scheduling staging, referring vendors, keeping track of keys
- Send out weekly emails to various groups of customers/clients
- Create marketing fliers through our the Keller Williams Command system
- Participate in weekly team meetings
- Prepare mailers and design marketing materials to send to past current and perspective clients
- Running errands like making copies of keys, gathering items for client gift bags, set up for events and other errands requested by the team leader
Musts:
- Have a willingness to learn new systems and help improve old ones
- Willing to work with a variety of clients, agents, vendors all with very different personalities
- Highly organized—you love working your way through checklist
- You know how to prioritize and work efficiently
- You are a strong listener; you understand others needs because you hear them
- Professional phone etiquette
- Able to quickly solve problems
- Strong knowledge of Microsoft Office Suite (Word, Excel) or Google Suite (Gmail, Sheets, Drive, Calendar), and other cloud-based applications (Docusign, database management)
- Strong written & verbal communication
- Experience with Facebook/Instagram is a bonus
Weekly Schedule
The schedule for this position is Monday through Friday, 9am-5pm. Rarely evenings/weekends may be necessary, from time to time, with your permission. This is mostly a virtual position with some in-person time for client facing activities.
Compensation
Commensurate with experience. Salary + bonus. Paid vacation and holidays. Blue Cross Blue Shield health insurance available.
