The position is responsible for all mailroom, courier, and record retention related tasks for Arizona Financial Credit Union.
Essential Job Functions
- Processes incoming mail and deliveries at the Operations Center and ensure timely notification and distribution throughout the organization.
- Handles the daily processing of outgoing mail which may involve the use of various mail equipment, including but not limited to; letter opener, mail folding/inserting machine, and postage machines.
- Process Credit Union returned mail and perform all proper bad address account maintenance.
- Manages, maintains, and makes improvements to the master retention log which contains records of all documents kept with off-site vendor.
- Routinely audits the master retention log against off-site storage vendor records to ensure accuracy.
- Responsible for coordinating and preparing incoming/outgoing boxes containing Credit Union documentation with off-site vendor.
- Responsible for tracking and ensuring the timely destruction of all documents kept with offsite vendor.
- Responsible for assisting in the research for requests pertaining to documents maintained with off-site vendor.
- Helps coordinate effective transition between off-site storage vendors during any acquisition or merger.
- Processes incoming and outgoing branch tote deliveries to ensure proper handling, timely processing, and effectively notifies leaders/courier vendor of any issues.
Minimum Education and Experience
- High School Diploma or General Education Degree (GED)
Knowledge, Skills, and Abilities
- Ability to read, write, speak, and use proper grammar in English.
- Ability to read and comprehend written instructions, correspondence, memos, and procedures.
- Ability to communicate verbally both in person and on the telephone to both internal & external customers and vendors regarding common inquiries or complaints.
- Ability to apply commonsense understanding to carry out detailed written or oral instruction.
- Ability to add, subtract, multiply and divide using whole numbers, common fractions, and decimals.
- Ability to apply knowledge and experience to improve processes and procedures.
- Ability to multitask between all required job functions and other duties as assigned.
Licenses, Training, and Certifications Required
- Clean Motor Vehicle Record (MVR), minimum 1 year
Preferred Qualifications
- Knowledge or experience with various organizational systems including but not limited to Symitar, Synergy, and Temenos.
- Knowledge in products and services offered by USPS, FedEx, UPS, and any other mail/delivery services.
Work Environment and Physical Demands
- Operations Center based role, in-person required
- Regularly required to stand, walk and reach
- Occasionally required to stoop, kneel, crouch or crawl
- Frequently lift and/or move up to 25 lbs
- Occasional lifting, 50 lbs
- Sitting and standing for extended periods of time
- Working on a computer for extended periods of time
- Must be able to operate Credit Union Vehicle
- Must be able to travel independently to departments, branch locations and off-site courier destinations
