OVERVIEW
The maintenance supervisor is in charge of overseeing the day to day operations of the maintenance department as well as assisting the property manager with contractors, projects and budgeting. It is the maintenance supervisor’s responsibility to train and manage the maintenance technician(s) on staff. If one team member is out, it is the maintenance supervisor’s responsibility to make sure that that employee’s responsibilities are fulfilled. If the maintenance supervisor is planning to be out, they must plan with the other maintenance team members how their responsibilities will be covered.
WORK ORDERS
- Review work orders with technician(s) at the beginning of the day to help determine which are most urgent and to set up a plan as to who will complete which tickets for the day
- Ensure all work orders and notes are completed using Yardi Maintenance Mobile
- Be sure office knows about any work orders that will require returning to the apartment so resident can be contacted
- Keep track of outstanding tickets using Yardi Maintenance Mobile and weekly to-do list in property manager’s office
- Assist with large or difficult work orders as well as any recurring tickets
- Schedule outside contractors in coordination with property manager as necessary. Keep track of ongoing projects on weekly/ongoing to-do list in property manager’s office
- Order parts, tools, equipment and other supplies as required. Order only what is immediately necessary for tickets or to have a limited supply in stock. Any orders over $500 require a P.O. to be submitted to manager prior to being placed
PROPERTY MAINTENANCE
- Look for problems or issues throughout the property while traveling around the community, and report any concerns to the property manager. When problems are discovered, provide possible solutions when presenting issue.
- Maintain swimming pool area at all times, including chemicals, cleanliness and overall appearance
- Ensure maintenance tech(s) and groundskeeper are completing daily duties. Follow up with them on tasks and projects to ensure they are being done properly.
- Check trash compactor area for large items that need to be removed via trailer. If there are items to remove, contact correct person to schedule a pick-up.
- Assist with and/or complete projects as discussed with property manager
TURN OVER
- Keep updated turn log in the leasing office
- Work with leasing staff to keep updated “tickler” list for all upcoming move-ins and move-outs
- Schedule contractors for all turnover requirements, including painting, carpet cleaning/replacement, and professional cleaning
- Complete maintenance in units being turned, or assign tasks to maintenance technician as needed
- Return keys to leasing office by no later than 10am on the day of the scheduled move-in. If there is no scheduled move-in, keys should be returned to the office within five business days
BUDGETING
- Assist property manager with yearly budgeting process by gathering quotes from contractors and helping to determine what projects or purchases are most important
- Assist property manager with coding bills as needed
- Keep track of purchases throughout the year and stay within budgeted amounts as much as possible. Any non-budgeted purchases must be approved by the property manager.
COMMUNICATION
- Meet with property manager and tech(s) each morning to review the day’s schedule
- When an issue is found on the property that is not urgent, email a note to property manager outlining problem and offering a solution
- When an urgent issue is found on the property, call the property manager to make them aware of the situation and offer a solution if possible
- If a resident contacts supervisor outside of regular office hours or while out on the property, the resident should be referred to the office. Supervisor should explain to the resident that all work orders and general correspondences need to be sent directly to the office in order to keep proper records. If a resident contacts the supervisor while he or she is not on call after hours and there is a maintenance emergency, the resident should be referred to the emergency answering service
- When requesting vacation or personal time off, fill out vacation request form and submit to property manager. Manager will enter on Outlook calendar once approved. Please indicate on vacation request form who is on call during the time off
