SUMMARY
The Domestic Military Move Management Administrative Assistant will provide administrative support to the Move Coordinators, and the Van Lines Team working directly with agents, bases, NAVL employees, operations personnel, and all other internal departments as required.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following. Other duties may be assigned.

Overseeing the distribution of all Customer Care Emails

Clear shipments for Temporary Storage

Update shipment information in the DOD system

Upload paperwork and surveys into IVUE and SISTRS
-
Handling cancellations and termination notices on DOD shipments.

Updating STS with Shuttle information
-
Confirming Prepack and Predelivery ETA’s and providing them to the move coordinator.

Reviewing errors in EZDPS data entry and making necessary corrections.

Pursuing and tracking GBL and other DPS corrections
-
Schedule, track and enter premove surveys in multiple systems.

Ensure Government regulations regarding preapprovals are met.

Working with third party companies to perform assessorial services.

Assist customers/move management/sales/operations/agents as needed with information and update the data in multiple systems.

Other duties as assigned.

SPECIAL SKILLS AND ABILITIES

Proficient in Microsoft Word, Excel, Outlook, Teams.

Minimum keyboard skill level of 40 wpm.

Coordination of typing and talking.

Ability to perform multiple duties daily and be receptive to change.

Use proper phone etiquette when speaking with internal and external customers.
EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); and one to three years related experience (domestic household goods moving, or military moving experience preferred); or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business documents, technical procedures, or governmental regulations. Ability to use language appropriate for business professionals in verbal and written communication. Ability to write reports, business correspondence, and procedure documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or agent partners. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
MATHEMATICAL SKILLS
Ability to perform basic math related tasks, and calculate figures and amounts such as discounts, weights, etc.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Able to apply common sense understanding to carry out written or oral instructions.
