We are seeking someone to provide dynamic and organized to support our Executive Director and team. This pivotal role involves managing administrative functions that are integral to the executive operations and strategic initiatives of our division. This successful candidate for this role will be someone who demonstrates strong independent judgment, discretion, and a proactive approach to challenges. This role will coordinate a variety of administrative functions, including but not limited to multiple conference and event planning, a rebrand/rename strategic initiative, ongoing board communications, upcoming safety survey and campaign launch, grant management, and travel arrangements. OSAP board and members hold a variety of professional roles including clinical professionals, researchers, manufacturers, distributors, and consultants. Many are highly educated.

This is a temporary role for an estimated six months, but with the possibility of temporary extension or “regular” placement at the end of the temporary placement.
- Strategic Support for Executive Functions:
- Plan and execute complex projects such as the Annual Conference, Dental Infection Control Boot Camp, and organizational rebranding initiatives.
- Make decisions on operational activities and set priorities that affect the strategic goals of the organization.
- Policy and Decision Making:
- Analyze information to assist in policy development and decision-making on behalf of the Executive Director.
- Recommend strategies and policies to improve operational efficiency and effectiveness.
- Board Liaison and Management:
- Serve as the primary point of contact between the Executive Director and the Board of Directors.
- Manage sensitive board communications, ensuring confidentiality and strategic handling of information.
- Travel and Logistics Coordination:
- Independently arrange comprehensive travel plans and logistics for the Executive Director and senior leadership, aligning with organizational objectives and preferences.
- Grant and Contract Oversight:
- Oversee grant management processes, including strategic planning sessions and critical communications, to ensure alignment with organizational goals.
- General Administrative Oversight:
- Delegate administrative tasks as appropriate and ensure the effective operation of the Executive Office.
- We operate as a Hybrid work environment, working as a combination of remote and in-office presence, as well as the possibility of being onsite at client and/or event locations.
- Ability to travel locally and regionally for events (for example, 1-2x/month).
- Requires flexibility in scheduling, such as the ability to work evenings and weekends to meet client, event, or company needs.
- Bachelor’s degree, preferably in Business, Marketing or Communications
- Proven experience in similar role, preferably in non-profit membership organizations.
- Proven success in project management, organization, and administrative duties.
- Exceptional communication skills; adept in both written and verbal exchanges.
- Strong organizational abilities, including multitasking, prioritizing, and meticulous attention to detail.
- Positive, self-motivated attitude with the ability to work independently as well as part of a team.
- Discretion in handling confidential information with utmost professionalism.
- High proficiency in Microsoft Office Suite and Google Workspace; familiarity with project management software is preferred.
- Experience in event planning or project management is a plus.

- The noise level in the office work environment is usually low to moderate, while event environments may be moderate to noisy.
