BASIC FUNCTION:
The Executive Assistant provides administrative support for the CEO of the Fort Worth Chamber (FWC) and the CEO of the Fort Worth Economic Development partnership (FWEDP).
The Executive Assistant helps position these executives and each organization in the best possible light through every activity and interaction. Excellent customer service is key to the success of this role.
The Executive Assistant is an external face of the FWC when it comes to support, communication and administration to the Chamber Officers, Executive Board and Board of Directors. The Executive Assistant is also visible with staff, members, community leaders and elected officials.
The Executive Assistant will continually seek to improve activities, processes, and procedures to improve the FWC Executive Office operations. This role will coordinate closely the Executive Leadership team for scheduling offsite retreats, weekly/daily meetings, and general communications.
KEY ACTIVITIES:
Essential duties and responsibilities will include, but are not limited to:
- Interface with Chamber Officers, Executive Board, Board of Directors as well as Fort Worth businesses, community and elected leaders which includes:
- o Handling confidential written and verbal correspondence.
- o Producing and distributing email and letter correspondence for the CEOs.
- Manages travel, email, and investor communication for the FWC CEO.
- Manages travel, some email, calendar and scheduling for the FWEDP CEO.
- Manages calendar and scheduling for the FWC CEO as well as an accurate executive filing system.
- Works with the Finance Team on the Executive Team department budget.
- Properly codes billings and expenses.
- Files expense reports for CEOs and self in a timely manner.
- Keeps close contact with Chamber Officers, Executive Board and Board of Directors through written and verbal communications.
- Keeps database current on Investor Council, Chamber Officers, Executive Board and Board of Directors members.
- Organizes the Chamber Officers, Executive Board and Board of Directors meetings which includes:
- o Setting meeting location, food, and drink.
- o Working with the CEO to set the agenda and suggested talking points.
- o Preparing the CEO for the meeting.
- o Attending and taking meeting minutes.
- Organizes the FWEDP Officers and Board of Directors meetings which includes:
- o Setting meeting location, food, and drink.
- o Working with the CEO to set the agenda and suggested talking points.
- o Preparing the CEO for the meeting.
- o Attending and taking meeting minutes.
- Assists with organizing and planning of the Annual Board Orientation and Board Retreat.
- Logistically plans and executes all meetings and special events related to the Executive Department, including relevant Committees.
- Works with the marketing team to coordinate news release for new board members.
- Other duties as assigned.
KNOWLEDGE & EXPERIENCE:
- College degree preferred.
- Four to six years’ prior experience in executive office management is required.
- Excellent organizational, communication and computer skills.
- Drive, discipline, structure, and reliability.
- Good interpersonal skills.
- Service heart and mindset.
DECISION-MAKING AND ACTION TAKING:
- Requires the ability to work with all levels of stakeholders and staff.
- Requires making decisions regarding matters that are beyond written procedures and determining procedures for major activities.
- Must be able to follow directions and work with the team to address the needs of the Chamber.
- Must be able to make independent judgments and decisions of both a tactical and strategic nature and be capable of directing and operating events.
PHYSICAL REQUIREMENTS:
- Some domestic travel.
- Moderate noise level.
- Some lifting of boxes of up to 25 pounds.
- Long periods of sitting.
- Early morning meetings and evening functions.
