The starting salary for this position is $23.22 - $27.32/h.
Executive Assistant Role:
Assists in coordinating the day to day activities of the Administration Department. Provides administrative support to the Board of Directors, Supervisory Committee, Executive Team and Senior Leadership Team.
Essential Functions & Responsibilities:

Provides confidential support at an executive level to the Board of Directors, Supervisory Committee, and Executive/Senior Leadership. Act as a communication facilitator, schedule coordinator, and information liaison on behalf of said leadership with PACU members and employees in a professional manner; answering phone calls and screening visitors, all while maintaining discretion with PACU confidential information. Provides technological support as needed.

Creates and maintains various filing systems, including contracts, policies, financials, reports, department files, etc. Prepares for monthly Board meetings by compiling required reports and agendas and making any other necessary arrangements. Prepares monthly reports for Board of Directors, Supervisory Committee, and Executive/Senior Leadership Teams in a timely and professional manner.

Creates meeting agendas and provides any files or resources and/or gathers information needed for each meeting. Records minutes at various meetings and distributes or archives them as directed. Follows up with meeting attendees on action items. Researches, proofreads for grammar and content accuracy, and assists with preparation of policies, procedures, and other documents. Prepares or assists in the preparation of assigned reports. Manages the policy review rotation/process.

Manages and maintains schedules for Executive Team and Senior Leadership and oversees meeting room calendars. Ensures timeliness of the Executives and Leadership to transition between meetings keeping mindful of schedules and coordinating any unplanned or last-minute changes or arrangements necessary. Interacts daily with Executive/Senior Leadership and their teams.

Coordinates all arrangements for special and/or large meetings and events for Board of Directors, Supervisory Committee, and Executive/Senior Leadership Teams such as scheduling, securing the location, catering food, and securing supplies and decorations as needed.

Assists with the processing of conference registrations, preparation of packets and other conference material, and arranging travel including hotel, flights, and transportation for Board of Directors, Supervisory Committee, and Executive/Senior Leadership Teams as needed.

Oversees all aspects of C-suite inventory, organization, cleanliness, and all guest hosting in the Administration Department. Serves as notary administrator for the Credit Union.

Reconciles credit card charges monthly with organized receipt records and timely submission to the Accounting department, along with mileage and travel expense tracking, reporting, and archiving on behalf of Executives.

Experience
Five years to eight years of similar or related experience.
Education
A high school education or GED.
Interpersonal Skills
Work involves much personal contact with others inside and/or outside the organization for the purpose of first-level conflict resolution, building relationships, and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.
Other Skills
Excellent verbal, written communication, organizational and editing skills, with an ability to multitask and meet deadlines; proficient with Microsoft Office (Outlook, Word, Excel, and PowerPoint); ability to function in a high paced environment
