THE JOB
XL Event Lab is in search of an experienced, skilled Tour Manager for an ongoing contract starting as soon as possible. This is a touring role working away from home in an outdoor environment with travel and accommodation provided for the duration of the contract.
Successful applicants will join a team of touring event professionals and support staff who will be responsible for the successful delivery and execution of a high capacity, family-friendly touring event experience that welcomes over 10,000 guests in a typical weekend. Managing a team of over 40 staff across various departments in an often challenging outdoor environment, this role requires candidates with demonstrable experience, at management level, in mass participation events of this scale and complexity. This role Would be particularly suitable to anyone with experience in the management and execution of participatory sporting events and/or music festivals.
OUR COMPANY
We design and execute experiences for an expanding base of customers and oversee a portfolio of established events which are active in various international markets. Selling both to entertainment buyers and directly to the ticket-buying public, XL Event Lab typically produces over 500 events in an average year.
THE ROLE
Working alongside the Build & Safety Manager, the Event Day Manager and a core team of touring staff this senior role will see the successful candidate oversee and manage all aspects of their assigned tour. Excellent communication, strong time management, and versatility will be integral. This will include the following:
Management of touring and locally hired crew, being the main go to point of contact and leadership, guidance and support.
Typically this will include staff deployment/placement, working closely with staff to help them meet productivity targets, helping to maintain a positive work environment for all staff, assisting in the ongoing training and personal development of touring staff, improving labor efficiencies, and managing the labor budget through finding better ways of working, and improving process and the capability of the team.
Management of all safety and compliance requirements related to the tour.
Working closely with the Build & Safety Manager on this task the Tour Manager will be responsible for ensuring that all necessary safety protocols are in place prior to site opening and that all regular safety checks and risk mitigations are being managed and implemented efficiently throughout the course of each event day.
Liaison with the back office support team.
Each tour is supported by a back office team and it will be the responsibility of the Tour Manager to effectively communicate needs to this team, bridging the gap between the support team, and ground team.
Liaison with all event stakeholders, vendors, permitting authorities and partners.
The Tour Manager will be the primary point of contact for all event partners including venue managers, sponsorship partners and third party vendors. Alongside the Build & Safety Manager they will also be responsible for ensuring that all permitting conditions are met and that the site is correctly prepared for any required inspections.
Management of event budgets, cost control initiatives, inventory and supply needs.
Each event is assigned a budget and the management of that budget is the responsibility of the Tour Manager. Cost control and improving expenditure efficiencies will be an important part of the role. The Tour Manager will also work closely with the wider touring team to ensure that all assets and event consumables are properly managed.
Regular reporting to senior management and direct reporting to the company’s Founders.
The Tour Manager is the eyes and ears of the Senior Leadership in each market. Reporting from the field is an important aspect of event operations and the Tour Manager will report directly to the company’s Founders on a weekly basis.
Project management and planning of upcoming events.
As part of the time spent working in the office the Tour Manager will be expected to contribute to the planning and management of upcoming tours and activations.
Research & development tasks related to the development of new touring experiences.
Another aspect of the office role will involve contributing to the research and development of new touring events. The Tour Manager will be part of the ideation process and will be relied on to give their unique, practical perspective to newly proposed events and experiences.

● Starting at $1,500 / week (Paid as Contractor / 1099)

Contractors are expected to work independently to complete the set daily tasks and may be required to supply tools and specialist equipment to complete these tasks.
