POSITION SUMMARY:
The Tribal Court/Receptionist is responsible for corresponding with Tribal Court Clerks following up on Petitions, Orders, Motions, and Judgements involving all cases handled by the Court. This Clerk ensures the organization of supplies, and processes; helps to maintain consistency in the overall flow of court operations. Must have strong customer service skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Serves as Receptionist in the Tribal Court department. Answers phones, greets incoming clients and community members.
2. Receives, petitions and all pleadings filed at the court, reviews for completeness and accuracy.
3. Distributes all mail, correspondence.
4. Delivers any mail to the mail room or post office as needed.
5. Assists in maintaining court records. Handles case files and documents and enters them into Full Court Enterprise including sensitive and confidential information.
6. Corresponds with Court Clerks, and other departments/entities as needed.
7. Performs administrative tasks in the tribal court system.
8. Assists in maintaining all official records of the Tribal Court and prepares certified copies, as required.
9. Works with the Tribal Court Clerks, to assist in providing proper notice to parties, as necessary.
10. Assists in the preparation of court rooms and ensuring all files are prepared and made available for Judges Review before hearings, as necessary.
11. Process Records requests received by the court.
12. Participates as a Project Team member in developing any improvements as needed.
13. Operates copier, computer, phone, and fax machine.
14. Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
QUALIFICATIONS AND REQUIREMENTS
Education and/or Experience
High School diploma/certificate, or equivalent background. A minimum of two (2) years of administrative/secretarial experience or a combination of relevant work experience required; Knowledge of office equipment, basic MS software, and word processing; communication and typing skills
Dependability in completing assignments in an efficient and timely manner
Ability to maintain confidentiality at all times.
Valid Washington State Driver’s License.
Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
