**Job Overview** We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is responsible for providing administrative support to our medical practice, real estate office, or office environment. The ideal candidate will have excellent communication and organizational skills, with the ability to work independently and as part of a team. **Duties** - Greet and assist patients, clients, or visitors with a positive and professional demeanor. - Manage and maintain organized and accurate records, files, and databases. - Coordinate projects, meetings, and appointments to ensure timely and efficient completion. - Transcribe and organize medical records, client information, or other documents as needed. - Utilize computer software to computerize administrative tasks and maintain accurate records. - Provide exceptional customer service and respond promptly to phone calls and emails. - Perform administrative tasks such as answering phones, managing mail, and maintaining office supplies. - Prepare and manage financial records using QuickBooks or other accounting software. - Develop and maintain office policies and procedures to ensure a smooth and organized work environment. **Experience** - 1+ years of experience in an administrative role, preferably in a medical or real estate setting. - Proven experience with project coordination, customer service, and office management. - Proficiency with computer software, including QuickBooks. - Strong typing skills with the ability to quickly and accurately complete administrative tasks. - Excellent phone etiquette and the ability to communicate effectively with patients, clients, or visitors. - High school diploma or equivalent required; associate's or bachelor's degree preferred. - Ability to work in a fast-paced environment with multiple priorities and deadlines. **Skills** - Medical receptionist experience - Transcription skills - Project coordination experience - Computerization skills - Excellent phone etiquette - Experience in real estate administration - Proficiency with QuickBooks - Strong typing skills - Experience in an office setting - Excellent customer service skills
