Job Summary:
The Sales Support Specialist supports the sales team and facilitates the sales process within a machine shop environment. This position involves administrative assistance, managing customer inquiries, preparing sales documentation, and ensuring efficient coordination between sales, production, and other departments.
Key Responsibilities:
1. Customer Inquiry Management:
a. Act as the primary point of contact for customer inquiries via phone, email, and other communication channels.
b. Gather customer information to understand their requirements and direct inquiries to the appropriate sales representative.
c. Respond promptly to general inquiries and provide basic information about products and services.
2. Sales Administration:
a. Assist in the preparation of sales quotations, proposals, and contracts.
b. Maintain accurate records of sales activities, customer interactions, and sales pipeline using CRM software.
c. Coordinate with the finance department to process orders, generate invoices, and manage billing inquiries.
3. Order Processing and Coordination:
a. Process incoming orders and ensure all necessary information is complete and accurate.
b. Communicate order specifications and requirements to the production team and coordinate order fulfillment.
c. Track order progress and update customers on delivery schedules and lead times.
4. Documentation and Reporting:
a. Prepare sales reports, forecasts, and performance metrics for management review.
b. Maintain up-to-date sales documentation, including price lists, product catalogs, and sales presentations.
c. Assist in developing sales materials and marketing collateral as needed.
5. Customer Relationship Management:
a. Assist in managing customer accounts and maintaining customer databases.
b. Follow up with customers to gather feedback, address concerns, and ensure satisfaction.
c. Proactively identify opportunities to upsell or cross-sell additional products and services to existing customers.
6. Administrative Support:
a. Provide administrative support to the sales team, including scheduling meetings, managing calendars, and making travel arrangements.
b. Assist in organizing sales events, trade shows, and customer visits.
c. Handle general administrative tasks such as filing, data entry, and office organization.
Qualifications:
· Previous experience in sales support, customer service, or administrative roles is desirable.
· Strong organizational and time management skills with the ability to prioritize tasks effectively.
· Excellent communication and interpersonal skills, both verbal and written.
· Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software.

Pay: $18.00 - $21.00 per hour
