The Program Clerk(s) assist the Energy Coordinator and Program Assistant with daily tasks associated with the Low-Income Home Energy Assistance Program (LIHEAP) and the Low-Income Home Water Assistance Program (LIHWAP). The Program Clerk(s) are responsible for locating and reviewing client payment inquiries, faxing/emailing CIP vouchers, helping with program preparation, file maintenance, and various program tasks. This position is required to perform other duties that may be assigned.

Responsibilities/Essential Job Functions
During Season
o Assist clients with payment inquiries including locating the file, researching contents, and working with Data Entry staff and the Intake Workers in correcting errors made to the files.
o Faxing/Emailing vouchers and/or pledges to their appropriate vendors to ensure services are not interrupted.
o Collaborating with client vendors to ensure services are maintained within our guidelines, including placing pledges or vouchers on accounts, and/or faxing or emailing correspondence to ensure the client receives the applied funds
o Complete and reconcile daily EAP reports.
o Correspondence with the Program Coordinator and Program Assistant to resolve client issues on an as-needed basis
o Maintaining a filing system for inquiries and vouchers
o Implement the use of the GO subsystem and VPN client for research purposes.
o Maintain confidentiality of all official records and information at all times
o Research, resolve, and maintain return checks.
o Enter and maintain Scana Referrals
Off Season
o Aid all required duties needed to help close out the program year, which may include filing, answering phones, contacting clients, organizing supplies, cleaning offices, and other duties
o Assist in creating training materials.
o Aid with all required duties needed to prepare for the new season, which may include building applications, stocking offices, and other duties.
Knowledge, Skills, and Abilities
o High School diploma or equivalent
o Minimum 1-year office experience
o Professional demeanor
o Outstanding interpersonal skills
o Excellent oral and written communication skills
o Must have the ability to exercise sound judgment, open communication, and courtesy in performing assigned duties.
o Moderate computer skills
o MS Suite experience preferred.
o Must exercise confidentiality with client information.
