JOB DESCRIPTION
Are you looking for a dynamic, fast-paced environment to show off your organizational skills? If so, the Massachusetts Dental Society (MDS) needs you. We’re searching for a team player to assist in planning our continuing education events as the Continuing Education Program Assistant. The ideal candidate is a self-starter who uses their talents to work with speakers, attendees, peers, and outside vendors to coordinate the Massachusetts Dental Society’s experiential learning programs for the annual meeting and throughout the year. In this position, you’ll also help your teammates with external communication, recordkeeping, and follow-up for all MDS educational events.
JOB DUTIES
- Responsible for meeting notices for Yankee Program, Co-chair and Study Club
- Prepare meeting materials for Yankee Program and Co-chair committee meetings
- Meeting minutes for Yankee Program, Co-chair, and Study Club
- Create events in database including courses, speaker agreements, etc. for Yankee Dental Congress, MDS Learning, and Yankee Study Club
- Distribute and collect course information forms to and from speakers
- Schedule and maintain information for Corporate Forums, Minuteman and all Exhibit Hall classes including contacting speakers and securing course information, and staff liaison with Sales team
- Contact delinquent speakers for follow-up (contact sheets, offers, contracts, course materials)
- Create and maintain day grids for Yankee courses
- Organize Yankee course handouts, ensuring they are all submitted (collect, review process with volunteers, and maintain online)
- Assist the continuing education department with on-site MDS Learning courses and MDS live and recorded webinars
- Coordinate event dates on the calendar with the MDS Digital Marketing Specialist
- Assist in the review of the Yankee Program Book
- Work closely with other CE staff on room-sets and AV orders, including updating the database
- Organize and prepare speaker introductions, ensuring all are in for the volunteers
- Coordinate all concurrent meetings at Yankee, including working with hotels to secure locations
EDUCATION AND EXPERIENCE
- Associate degree or experience in event planning
- Strong computer skills/database management
- Interpersonal skills
- Ability to multitask and meet deadlines
- Detail-oriented
- Salesforce experience and/or work experience in a non-profit organization a plus
OTHER QUALIFICATIONS
- Availability to participate in evening and weekend meetings as required
- Must be able to see to read documents on paper, on computer monitors, and/or on hand-held mobile devices
- Must be able to hear the spoken word (either naturally or assisted) in person, by telephone, and/or by video conferencing
- Must maintain a valid driver’s license and be willing and able to drive to out-of-state and in-state meetings as required
- Availability to attend Yankee Dental Congress annually, generally the last week in January, in Boston
- Ability to lift, push, and/or pull 30lbs
Job Type: Full-time
Pay: Up to $24.00 per hour
Expected hours: 35 per week
