**Overview:**
We are seeking a highly organized and detail-oriented Executive Assistant that will support the lead real estate agent and other team members in achieving success. Their duties vary depending on the needs of the broker. The ideal candidate will be proactive, resourceful, and able to handle a variety of tasks efficiently.
**Duties:**
- Manage calendars and set up meetings
- Prepare reports, presentations, and correspondence
- Conduct research and compile data as needed
- Perform general office activities, such as typing, answering telephones, operating office machines, processing mail, or securing confidential materials.
- Screening and delivering incoming messages, making appointments with clients, and collecting and filing documents from a buyer or seller in a real estate transaction
- Assist in organizing and maintaining files and records
- Act as the point of contact between executives and internal/external clients; liaison between broker and clientele
**Experience:**
- Proven experience as an executive assistant or similar administrative role in a real estate setting. Real Estate transactions and document processing.
- Using computers and computer systems (including hardware and software) to program, write software, set up functions, enter data, or process information.Proficient in Microsoft Office suite (Word, Excel, PowerPoint)
- Performing day-to-day administrative tasks such as maintaining information files and processing paperwork. Strong organizational and time-management skills
- Communicating with people outside the organization, representing the organization to customers, the public, government, and other external sources. This information can be exchanged in person, in writing, or by telephone or e-mail. Excellent verbal and written communication abilities
- Developing specific goals and plans to prioritize, organize, and accomplish your work. Familiarity with office management procedures
- Knowledge of DocuSign or similar electronic signature platforms
- Ability to transcribe meeting minutes accurately
- Experience in proofreading documents for errors
