Purpose: Total Energy Systems, LLC is seeking a qualified Service Coordinator to work out of our De Pere, WI facility. The employee will be responsible for the day-to-day on-going service administrative support, technician support, and customer service as it pertains to the service department.
Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform the following satisfactorily; other duties may be assigned.
Key Job Accountabilities:
1. Answer incoming service call requests and prioritize all service requests using service schedule to schedule technicians effectively and productively
2. Create and maintain customer account information in company database
3. Create and maintain planned maintenance company database
4. Communicate with technicians and customer to prepare recommended service estimates and provide to customer
5. Assist Customer Service team with Planned Maintenance and Extended Warranty Estimate when needed to receive approval or schedule a service call or PM visit.
6. Follow-up with customers on all planned maintenance agreements and recommended service estimates provided to secure the business and schedule technicians
7. Track all estimate activity using the company CRM database
8. Upon receipt of approved estimate, enter all estimate information into appropriate tracking systems for execution
9. Work with Customer Service personnel to renew planned maintenance agreements upon end of the agreement term
10. Work with Service Administration and Parts department to register and invoice for extended warranties sold
11. Attend all Service meetings, conference calls and training sessions as required
12. Perform Service Invoicing Functions and Processes as required
13. Assist with customer support for all Service customers as requested by the Service Manager including problem resolution, information requests and collection of accounts receivable.
14. Assist in daily operation of the Branch and support technicians as needed
15. Effectively communicate among multiple branches and headquarters
16. Coordinate multiple activities and schedules
17. Other duties as assigned
Skills/Abilities/Requirements/Experience:
1. Associates degree (A.A.) or equivalent from two year college, or technical school, or six months to one year related experience, and/or training or equivalent combination of education and experience
2. Required valid drivers license
3. Experience with and proficiency in MS Office applications
4. Self-starter, exercises good judgment, is proactive, and demonstrates timely follow-through
5. Practiced organizational skills; adhering to timelines and schedule; and attention to detail
6. Professional and effective skills of written and verbal communication
7. The ability to work under little supervision.
8. Maintain certain levels of confidentiality.
9. The ability to work and interact with co-workers in a professional manner

This position will be working primarily indoors or outdoors in a climate controlled, smoke free environment, but also requires the employee to be moving through other areas on a regular basis. From this movement, the employee will encounter varying temperatures from these areas. The normal auto and air travel hazards will apply. The noise level in the work environment is usually moderate, but can be higher in other areas.
