Job description
We are looking for a competent Business administrator to help with the organization and running of the daily front office operations in our Dallas location. The ideal candidate will be a hard-working self starting professional able to undertake a variety of office support tasks and work diligently under pressure, with minimal guidance or direction. A minimum of three (3) years working as an Office Manager or Executive Assistant or similar role is required. Salary will be based on the candidate's experience and skills relevant to the position. You will perform clerical and administrative functions in order to drive company success.
Responsibilities Business manager
- Draft and send correspondences, emails, and other formal documents such as job proposals and invoices
- Plan and schedule appointments, meetings, travels, purchase of material orders
- Process different types of applications when required
- Develop and implement organized filing systems
- Receive, arrange, and pay bills and invoices (When bookeeper is busy)
- Prepare, sort, attach, collect and distribute internal, outgoing and incoming correspondence and files
- Administrative duties such as typing, filing, printing, faxing and scanning
- Assist with payroll
- Other duties as assigned
Accounting/Bookkeeping - Moderate (Back up as needed)
Requirements:
- Creating invoices and processing accounts receivable payments for multiple companies
- Process vendor payables initiating payments on a weekly basis
- Investigate and resolve accounts receivable issues in a timely manner
- Assist customers with receivable issues when needed
- Soft collections for past due receivables
- Reconcile company credit card statements
- Monthly account reconciliations
- Credit Card expense posting
SKILLS, ABILITIES, EXPERIENCE REQUIRED:
- 1-3 years of Quickbooks experience
- Microsoft Office suite experience
- Microsoft Excel proficiency preferred
- Prior Real Estate and/or Property Management industry experience preferred
- Organization Skills
- Data Entry Skills
- Demonstrated attention to detail
- Experience developing standard operating procedures preferred
- * Experience with the Construction industry is preferred*
- Thorough understanding of office management procedures
- Excellent organizational and time management skills
- Must display a friendly and helpful attitude with clients, vendors, sub-contractors and co-workers
- Must display the ability to interact positively with customer and co-workers
- Must be able to handle working under the pressure of intense deadlines
- Regular and predictable attendance and punctuality- must be reliable, punctual and flexible
- Ability to work after hours/weekends when necessary
- Bilingual (English and Spanish) candidates strongly preferred

This is a full-time onsite position in North Dallas. Medical reimbursement, vacation, sick pay, and paid holidays. Hourly pay range is based on experience and ability to contribute to the company’s success. Applicants must be willing to submit to a background investigation and drug testing.
