About Us:
The Asclepius Initiative, Inc (TAI) is currently seeking a candidate for the Part Time role of a Project Manager (PM) to manage a grant which will involve project organization, identification and recruitment of focus group study participants, focus group and interview scheduling, coordination, tracking and reporting.
The PM will work collaboratively with the grant members and TAI staff
This is hybrid remote position. While primarily remote, you will need to report to various locations in Kentucky.
CORE RESPONSIBILITIES:
- Work with TAI contacts in an iterative fashion to recruit and screen focus group participants
- Create and maintain database of eligible focus group participants
- Identify and procure focus group site locations
- Coordinate and schedule focus group on site and videoconference sessions
- Preparation of regular and summary grant reports
- Creating long- and short-term plans, including setting targets for milestones and adhering to deadlines
- Oversee grant activities, documentation, reporting, and engagement of stakeholders
- Delegating tasks on the project to employees best positioned to complete them
- Making effective decisions when presented with multiple options for how to progress with the project
- Communicating with executives or the board to keep the project aligned with their goals
- Performing quality control on the project throughout development to maintain the standards expected
- Adjusting schedules and targets on the project as needs or financing for the project change
- Cultivating and advancing relationships with current and future project partners
- Oversight, tracking, and recording of budget activities
- Supervise collection of staff notes and call logs, including key contacts, planned events, conferences, and any materials to be distributed
- Regular meetings with TAI leadership
- Track progress of recruitment target metrics
- Other duties as assigned
- These responsibilities will vary over time with the expectation that the incumbent will focus on the aspects that are most critical to the organization, as directed by the ED
HUMAN RESOURCES:
- Develop, motivate, and lead a program team; set and coordinate team goals and evaluate the performance of team members
- In collaboration with the ED, develop and ensure all program staff receive orientation and training, and that required paperwork is completed
- Work with the ED to address and mediate HR concerns between program staff as needed
- Manage any personnel/grant partner issues that arise, respond appropriately, and resolve all conflicts in a timely manner with professionalism and tact
- Review and submit incident report forms to the ED
PROGRAM REPORTING:
- Submit timely and accurate program and evaluation reports to the ED for grant reporting purposes
- Work with the Executive Director and Communications Associate to implement communications programming
- Meet with grant team throughout the grant
- With assistance from the ED, prepare interim and end-of-project report for distribution to funder, media, key stakeholders, and diverse public consumption
REQUIRED QUALIFICATIONS:
- Bachelor’s degree
- Minimum 3 years’ experience with project management
- Proven effectiveness in managing a team and educational programs
- Outgoing and comfortable with human subject recruitment
- Excellent interpersonal skills
- Superior organizational and time management skills and attention to detail
- Thrives leading collaboratively and executing a shared team vision
- Ability to implement efficiencies to improve work processes
- Ability to prepare and present reports or recommendations clearly and concisely to the Executive Director
- Ability to compile financial and operational data and to analyze charts and reports and statistical and budgetary statements
- Ability to establish and maintain effective working relationships with staff and organizational partners
- Experience working with communication creatives
- Experience with grant reporting

- Strong interpersonal skills
- Proficient in MS word, Excel, PowerPoint, project management software (Monday)
- Self-motivated and able to self-direct
- Access to personal transportation for periodic travel in Kentucky

Salary posted is the full time rate. This is a part-time position budgeted for 0.2FTE, or 8 hours/week. Pay is adjusted accordingly, ie $1000-$1083/mo. Flexible hours M-F as coordinated with ED
