The HR Coordinator provides clerical, administrative and customer service support to staff. Will perform duties required to maintain employee records and files, compile personnel statistics, and provide assistance to employees. Support and assist with a wide variety of human resources functions which include employment, employee relations, compensation, benefits, training, and recordkeeping. This position requires a proactive approach to taking on responsibilities and a willingness to tackle assigned and non-assigned duties. HUMAN RESOURCES COORDINATOR
ESSENTIAL ELEMENTS
·Conduct new employee orientation for policies, internal procedures, benefits, timekeeping/payroll portal familiarization, and regulations.
·Serve as the primary point of contact for new employee onboarding and benefits enrollment, and general employee communications. Conduct pre-boarding and onboarding for all new and returning hires.
· Oversee and collect new-hire orientation paperwork for the creation of personnel files.
· Oversee administration for FMLA, PFML, and STD claims. Manage claim activity as it relates to the claims in compliance with company policies and procedures.
· Company liaison with worker’s compensation incidents insurance filing and claims management. Ensure reporting and documentation is timely and accurate. Report to Human Resources and Safety Managers as may be needed or required. Serve as Workers’ Compensation Liaison between employees/adjusters.
· Assist Safety Manager with Safety Committee meetings, the investigation of safety concerns, and the coordination of applicable corrective action.
· Receive, process and track insurance benefit enrollments/terminations including monthly reconciliation of bills for same.
· Assist with new and updated insurance enrollments or changes as requested by employees.
· Ensure accurate insurance payroll deductions are taken, and update employee’s status, as may be needed.
· COBRA enrollment/termination payment tracking.
· LOA employee contribution insurance payment tracking.
· Assist with and maintain company bulletin boards to ensure compliance with all state and federal mandated postings.
· Create and/or revise a variety of Human Resources forms as needed or required.
· Assist with guiding employees through various human resource processes, answering any questions they may have about policies and procedures.
· Work closely with the HR Manager to ensure all staff-related matters and changes are accurately communicated in the most appropriate manner.
· Draft a variety of organizational correspondence and documents.
· Assist with the creation and organization of employee engagement plans including company outings, events, meetings, and gatherings, as directed.
· Collaborate closely with managers and employees to develop, interpret, and communicate HR programs, policies, procedures, and employment laws.
· Ensure compliance with Federal, State, and local HR regulations.
· Create and/or revise a variety of Human Resources forms as required or directed.
· Assist with open enrollment process, employee enrollment changes, and vendor invoice reconciliation.
· Perform quality checks of benefits-related data and run reports.
· Prepare employee related letters including leave letters, reference requests, employment verification, etc.
· Ensure hard copy filing, electronic filing, and archiving is up to date and in line with standard procedures and legal requirements.
· Support managers and employees with employee relations including interpretation of policies, leaves of absence, documentation, grievance, and performance related matters.
· Undertake specific projects and other ad-hoc tasks as directed by the HR Manager.
· Keep up to date with developments in employment legislation, HR policies, and human resources best practice to ensure continuous development.
REQUIREMENTS
· Associate’s or Bachelor’s degree in a field of business study and/or related accreditation preferred.
· 2 - 4+ years of HR administrative assistant experience preferred.
· Massachusetts Notary Public preferred or willing to acquire commission.
· Excellent organizational skills with an ability to think proactively and prioritize work.
· Excellent verbal/written English communication skills including spelling, grammar, punctuation, and proofreading along with a full command of propre business communication standards.
· Keen ability to communicate clearly.
· Professional demeanor and maturity in handling confidential and sensitive matters with discretion.
· Sense of urgency in the completion of duties.
· Proactive, takes initiative, and responds to requests with a sense of urgency.

· Advanced knowledge of MS Office (Word, Excel/PowerPoint) and familiarity working with a variety of software programs. Prior experience with payroll and HR platform is critical.
· Good judgment and critical thinking capabilities with a focus on detail and accuracy.
· Prior success in a fast-paced, busy organization.
