**Job Overview:**
We are seeking a detail orientated billing and inventory specialist responsible for managing the invoicing process, entering bills, setting up and tracking inventory in Quickbooks Online, and overseeing truck warranties and core returns. This role ensures accurate and timely financial transactions, maintains optimal inventory levels and manages warranty documentation for the fleet. The ideal candidate will have strong attention to detail, organizational skills and the ability to work efficiently and independently.
**Responsibilities:**
Invoicing:
-Prepare invoices accurately from POs assigning labor and parts and issuing to customers
-Track and follow up on outstanding invoices and payments
-Resolve any billing discrepancies or issues promptly.
Bill Entry:
-Enter bills into the accounting system accurately and timely
-Verify the accuarcy of bills and ensure they are matched with purchase orders
-Maintain records of all transactions and prepare reports as needed.
-Assist in month-end and year-end closing processes
Inventory Tracking
-Monitor and manage inventory
-Conduct regular inventory audits and reconcilliatsions
-Record inventory movements and update the system accordingly
-Assist shop manager to coordinate with suppliers to manage orders and deliveries
Truck Warranties:
-Maintain records or all truck warranties and ensure documentation is up to date
-Help handle warranty claims and coordinate repairs and replacements as needed
-Communicate with vendors and service providers regarding warranty issues
**Qualifications**
-Proven experience with billing, inventory management and warranty tracking.
-Proficiency in Quickbooks Online accounting software and Microsoft Office Suite.
-Strong organizational and multitasking skills
-Excellent attention to detail and accuracy
-Good communication and interpersonal skills
-Ability to work independently and as a part of a team
Job Type: Full-time
Pay: $40,000.00 - $48,000.00 per year
