We are currently seeking an experienced Receptionist/Administrative Assistant. As the voice and face of our firm, candidate demonstrates a high level of professionalism with a natural tendency to creating long lasting first impressions. This role is the “heart” of the company. You are energetic, passionate and ready to support our clients and advisors. The ability to collaborate with teammates is essential throughout the organization. Candidate will work alongside (and under the guidance of) our current receptionist to answer phones, and welcome guests into our organization.
Specific areas of focus include:
· Greet visitors in a friendly, professional manner, promotes positive public relations
· Obtain client’s beverage needs and verify client information utilizing the client contact sheet
· Answer incoming calls and direct to appropriate parties or take messages
· Schedule, maintain, and confirm client appointments and misc. meetings as needed
· Maintain conference rooms, creating client banners, clean rooms after meetings
· Open, sort, and distribute incoming correspondence, including faxes and mail
· Perform general office duties, such as ordering and stocking supplies
· Coordinate and manage wholesale meetings, client events and order lunches
· Order and clean up all group lunches, kitchen area, lobby and common areas as needed.
· Christmas card design, ordering and mailing
· File, scan and upload incoming correspondence of client/corporate documents
· Stock kitchen daily (water, coffee, sugar, etc.)
· Handle misc. client walk in’s
· Prepare daily Fed Ex packages, distribute and order supplies
· Handle basic building maintenance, including researching and greeting contractors, and performing light maintenance duties
· Performs other duties and responsibilities as assigned.

Education and Other Designations:
· High school diploma
· 2-3 years’ experience in a similar position
· Microsoft Office
· Excellent communication skills (phone and in-person) including the ability to express empathy and assist client’s needs are important
· Good relationship builder/works well with team
· Decision making skills
· Strong organizational, planning, and time management skills
