Position Summary: The Finance Manager will be responsible for managing both retail and wholesale financial operations. This role includes overseeing accounts payable and receivable, payroll processing, financial reporting, and general accounting tasks using QuickBooks. The ideal candidate will have a strong background in finance and accounting, excellent organizational skills, and the ability to work independently.
Key Responsibilities:
Accounts Payable (AP):
- Receive, review, and process supplier invoices for both retail and wholesale purchases.
- Schedule and prepare payments to suppliers, ensuring timely and accurate payments.
- Monitor and record all expenses, ensuring they are categorized correctly.
- Maintain relationships with suppliers and vendors, addressing any discrepancies or issues that arise.
Accounts Receivable (AR):
- Generate and send invoices to retail and wholesale customers using QuickBooks.
- Track incoming payments and follow up on overdue accounts.
- Record and reconcile cash receipts from retail sales and wholesale transactions.
- Assess and monitor credit terms and limits for wholesale customers.
Payroll Management:
- Process payroll for all employees, ensuring accurate and timely payments.
- Calculate and withhold appropriate taxes and other deductions.
- Ensure compliance with local, state, and federal payroll regulations.
- Maintain accurate payroll records and employee information.
Financial Reporting and Analysis:
- Create financial reports such as profit and loss statements, balance sheets, and cash flow statements.
- Assist in preparing budgets and financial forecasts for both retail and wholesale operations.
- Analyze financial discrepancies and report significant issues to the owner.
- Assist in month-end and year-end financial closing processes.
General Accounting Duties:
- Perform monthly bank reconciliations to ensure accurate cash balances.
- Prepare and post journal entries for various transactions.
- Monitor and reconcile inventory accounts for retail and wholesale products.
- Enter financial data into QuickBooks, ensuring accuracy and completeness.
Financial Controls and Procedures:
- Help implement and maintain financial policies and procedures.
- Assist in preparing for internal and external audits.
- Maintain organized and up-to-date financial documentation and records.
Communication and Collaboration:
- Work closely with the store owner and other team members to coordinate financial activities.
- Provide financial insights and recommendations to the owner to support decision-making.
- Train and support other staff members in basic financial procedures as needed.
Additional Duties:
- Optimize the use of QuickBooks for financial management and reporting.
- Stay updated with financial regulations and best practices to improve financial processes.
Qualifications:
- Minimum of a 4 -Year degree, Accounting or Finance
- At least 5 years of work experience in Accounting
- Thorough knowledge of U.S. GAAP
- Advanced Quickbooks and Excel skills
- High attention to detail and organizational skills
- Effective time management and logical decision making
- Ability to work independently and as part of a team
Job Types: Full-time, Part-time
Pay: $65,000.00 - $90,000.00 per year
Expected hours: 20 – 40 per week
