Position Summary:
The Office Coordinator is responsible for providing administrative support to the Wellness Center Senior Director. This role assists with manual paperwork, accounting activities, maintenance of the center’s membership accounts, and serves as a core business software resource for the Wellness Center. The Office Manager may also provide oversight and leadership over a center department as designated by the Center Senior Director.
Primary Duties:
- Provide support and back up to the center managers and all departments as needed.
- Support the sales team and reception staff by responding to membership issues and questions related to account and membership status and billing concerns, as needed.
- Daily POS cash reconciliation and deposits, balance, process petty cash and maintain change for the reception desk.
- Prepare and submit billing statements for rent and outside services.
- Maintain and manage payroll deductions for hospital employees.
- Maintain and manage sliding scale for members that qualify.
- Maintain the schedule for the community rooms.
- Order supplies for the Wellness Center.
- Order and maintain uniforms and name tags for new and existing associates.
- Be proficient in all core business software as it relates to job duties and responsibilities.
- The ability to be flexible and accommodating as it relates to center hours, work schedules and scheduling appointments for prospects and members.
- Oversee the member survey platform and respond to member comments.
- Manage social media sites and ad campaigns with the direction of the Membership sales Director and Senior Director.
- Facilitate meaningful partnerships with cross functional departments.
- Represent Humboldt Park Health in a positive and professional manner.
Position Requirements:
- High School diploma or GED required.
- Bachelor’s and/or Associates degree or equivalent from a two-year college preferred.
- Minimum two years of experience in a similar or related field.
- Proficient in written and verbal communication skills.
- Demonstrate exceptional listening and customer service skills; be social, outgoing, and friendly.
- Be an onsite leader who “leads by example” in professionalism, dress, demeanor, dedication, attention to member service, and employee care.
- Maintain composure and act appropriately in moments when multiple unexpected challenges arise concurrently.
- Maintain good health and physical strength, remaining on your feet for the majority of the workday, and capable of working without physical restrictions.
- Possess a passion for fitness, health, athletics, and wellness. Enthusiastic, professional, and genuine demeanor.
- Ability to work some weekends and holidays.
- Computer proficiency (Word, Excel, Outlook, etc.)
- CPR and First Aid certification required.
