Summary/Purpose
This position provides dispatch support for technicians and customers. This position will perform a variety of clerical duties to help keep the dispatch running smoothly. The main responsibility will be to dispatch and schedule technicians to service calls, prioritize service calls, customer service, database and spreadsheet management, scanning, summarizing, and filing work orders. Accuracy is critical when pricing work tickets and/or quotes.
Also, the ability to prioritize and multi-task is essential. Position requires a high level of communication skills to answer/send emails, phone calls, and text messages. Confidentiality is expected. Deals with a diverse group of important external callers as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload.
Essential duties:
- Answer and direct telephone calls
- Communicate with customers, employees, and others to answer questions, address complaints, explain information, and take orders.
- Handle incoming and outgoing office correspondence.
- Compile and maintain records of work orders, invoices, and business transactions.
- Type, format, proofread and edit documents from notes or dictation.
- Schedule service calls and technicians
- Obtain information to respond to requests by reviewing files, documents, and records.
- Take inventory and order materials, supplies, and services as needed.
- Troubleshoot problems that arise.
- Assist with other departments, projects, and tasks as needed.
Technical skills required:
- Superior Communication skills: Both written and verbal: Spelling grammar and sentence structure with the ability to summarize work orders is a must.
- Customer Service skills: excellent customer service a must. Must be both professional and have a pleasant demeanor when dealing with customers both externally and internally.
- Analysis/Research skills: must have research and data analysis skills in order to compile reports and collect research material for technicians and dispatch.
- Attention to detail: must have exceptional levels of attention to detail when reading work orders and ordering parts for technicians.
- Typing/math and ability to use software programs such as Microsoft Word, Excel, Outlook, and other company applications for dispatch/customer/work order tracking file maintenance.
- Word processors, spreadsheet applications, and database software for storing customer databases.
- Ability to handle multiple projects: work independently and efficiently with or without supervision.

Qualifications:
- Proficient in Microsoft Office (Excel, Word, and Outlook)
- Self-motivated, flexible, ability to operate with minimal direction.
- Must be deadline-driven and can prioritize service calls.
- Knowledge of HVAC terminology is a plus.

Job Duties:
- Answer incoming customer inquiries.
- Record customer information within our customer service database
- Engage with clients in a friendly and professional manner while actively listening to their concerns.
- Offer support and solutions to customers in accordance with the company's customer service policies.
- Other duties as requested.
PAY RANGE: $20.00 - $22.00 PER HOUR
SHIFT: MONDAY THROUGH FRIDAY FROM 8 A.M. TO 5 P.M.
All offers are contingent upon passing a background check.
