Join Our Team as an Office Administrator!
Are you a dynamic and outgoing individual with a knack for customer engagement and organizational wizardry? We are seeking an enthusiastic Office Administrator to be the face of our company, welcoming customers in our showroom and guiding them through our exceptional products and services. Your role is pivotal in persuading potential customers to sign up for in-home sales consultations, showcasing our diverse range of products, and managing the scheduling of our dedicated crews and sales teams.
Key Responsibilities:
Customer Service Excellence:
- Engage with customers in our showroom and through various communication channels such as phone, email and text.
- Provide expert guidance on product selection, educate customers on our services and products, and stay informed about competitor offerings.
- Demonstrate exceptional communication skills, ensuring prompt and accurate responses to customer inquiries.
Office Management:
- Efficiently process payroll for sales representatives and handle time card management.
- Generate and manage various reports for corporate, operations manager, and general manager as needed.
- Facilitate warranty claims through GT Records and confirm appointments for sales reps.
- Handle appointment scheduling, create contract and installation packets, and follow up with customers post-installation.
- Make sure inventory is up to date.
Data Entry and Social Media:
- Utilize our internal system and QuickBooks for data entry.
- Manage the entry of all social media posts.
Filing and Organization:
- Maintain meticulous filing systems for customer contracts, change orders, and vendor invoices.
- Process incoming and outgoing mail, produce invoices, and type notification letters.
- Monitor and process payments from customers and vendors.
- Track our referral program and keep an accurate inventory of office supplies.
Work Schedule and Requirements:
- 5 days per week with weekends off.
- Participation in external events such as home shows, street fairs, and community events to promote our products and generate leads.
- Must possess a cell phone and maintain a professional appearance and attire at all times.
