The Role: ACS is hiring a highly organized and detail-oriented individual to support our office and accounting operations in a hybrid role of Office Manager/Accounts Receivable Clerk. In this role, you will be responsible for ensuring the smooth operation of our office environment and oversee various administrative tasks. You will also be supporting the accounting team with accounts receivable, payroll, and settlements.
You will:
- Manage day-to-day office operations, including but not limited to, maintaining office supplies, equipment, and facilities to ensure a functional and organized work environment.
- Collect and organize incoming and outbound mail and packages
- Manage correspondence, emails, and phone calls, prioritizing, and responding appropriately.
- Maintain electronic and paper filing systems, ensuring accuracy, accessibility, and confidentiality of documents.
- Prepare reports, presentations, and other documentation as required.
- Perform receivable duties such as invoicing, billing, and collections.
- Work with the accounting team to reconcile accounts, resolve discrepancies, and ensure accurate financial records.
- Communicate with clients regarding payment status, inquiries, and any billing-related issues in a professional and timely manner.
You have:
- A Bachelor's degree in accounting, finance, business administration, or related field preferred.
- Proven experience in office management and/or accounting, with a strong understanding of administrative processes and procedures.
- Familiarity with accounts receivable practices, including invoicing, billing, and collections.
- Excellent organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong communication and interpersonal skills, with the ability to interact professionally with employees, clients, and vendors.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- An ability to adapt to changing priorities and take initiative to resolve issues effectively.
