The Tampa YMCA is looking for a candidates who are passionate about ensuring our associate data is accurate and complete. Under the direction of the Senior Director of Human Resources , the HR Data Specialist is responsible for data entry into the HRIS system, auditing, reporting and related system processes.
Critical areas of expertise include: highly organized, detail oriented/accuracy, deadline driven, high volume processing and experience with HRIS/HRMS and high-level customer service
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Data Management
-
Inputs new hire information into the HRIS database in a timely manner

Creates, maintains, processes and monitors electronic personnel files, and other Human Resources records (i.e. I9 forms, etc.) for compliance with all Tampa YMCA , State, and Federal guidelines.

Processes all PAN (personnel action notice) forms within 48 hours of receipt.

Run regular audits to ensure accuracy of HRIS system data

Tracks all certifications for Tampa YMCA employees and ensures compliance.

Acts as the HR liaison during any regulatory inspections / audits.
Hiring and Onboarding Associates
-
Completes I-9 process for all new hires
-
Ensure all new hires complete required training within required timelines

Assist with the day-to-day efficient operations of the HR office including serving as back up to other HR positions, as needed.

Ensures compliance with all Tampa YMCA policies, and regulatory agency guidelines.

Other duties as assigned.
Education/ Experience Required:
-
High School Diploma, or GED required. Associate degree preferred.
-
One to two years of experience in Human Resources or related administrative setting.
-
One to two years of experience working within an HRIS/HRMS
-
Must have a minimum of two years of data entry experience.

Deadline driven, very organized, attentive to detail, with excellent communication skills (written).

Demonstrated ability to multi-task and adapt to changing contexts and priorities

Ability to work independently and with minimal supervision.

Ability to multitask and prioritize work to meet daily deadlines.

Must have high level of confidentiality to handle sensitive and confidential situations and documentation.

Excellent interpersonal skills; ability to relate to individuals at all levels.

Excellent customer service skills.

Proficiency in Microsoft Office (including HRIS systems).

Must be extremely organized, detailed with excellent follow through.

Certifications/Trainings Required:

Must obtain within 30 days of employment and then maintain current certifications in CPR, First Aid, AED and Oxygen Administration.

Maintain other required certifications as stated in the training matrix.
