The Scheduling and Human Resource Coordinator is responsible for scheduling staffing including RN and LPN nurses as well as LNA’s for multiple busy nursing units at a 24 hour skilled nursing facility. This position is responsible for maintaining relationships with nursing staff to promote an optimal working environment and contribute to staff retention. The ideal candidate for this position will be able to prioritize multiple tasks while remaining organized. The ideal candidate will be responsible for providing up to date attendance detail for employees, maintaining a master schedule, updating open position information for recruitment purposes, maintaining an accurate daily schedule with all edits and updates entered, and strictly managing overtime and bonus costs.
How you will help people every day:
- Prepares schedules for the nursing units and maintain posted schedule
- Keeps schedules up to date with personnel changes
- Prepares and completes all paperwork necessary for change of assignments/shifts and status of employees
- Completes nursing hours daily report for Nursing Mgmt and all other reports as assigned
- Enters coded nursing hours in Payroll software daily, including paid and unpaid time off
- Reviews and maintains the nursing agency credential files
- Creates written communication for any changes in schedules, weekend-holiday-vacation coverage or alerts
- Organize, prioritize, and coordinate all nursing staff schedules.
- Develop positive relationships with members of the nursing department.
- Identify staffing problems, take initiative to resolve, communicate to DNS and Administrator.
- Reviewing requests for paid time off (PTO), vacation, maternity leave, Family Medical Leave Act (FMLA), and unpaid leaves of absence
- Fulfilling staffing vacancies in advance to ensure adequate coverage for all shifts
- Communicating with unit managers and the Nurse Educator regarding floor orientation scheduling for newly hired employees in the nursing department
- Checking time clock punch records in payroll against master schedules and noting the appropriate changes
- Utilizing computer software to prepare, change and update the master schedule
- Complete the pre-employment background screening process on all new hires
- Actively participate in the process of interviewing, hiring, on boarding and orienting new nursing employee
- Create and post monthly staff schedules, track and post changes and approve trades
- Maintain timely records of call-offs, tardys and early arrivals and coordinate daily with Administrator and Director of Nursing to ensure attendance policies are administered promptly and fairly.
- Provide accurate and timely reports to DON, Facility Administrator and management on issues relating to staffing, vacancies and agency use, or other topics as assigned.
- Prepare and submit accurate, complete payroll reports on a timely basis
- Verify employment data and backgrounds on job applicants
