Our team is growing, and we are seeking a skilled and detail-oriented individual to join our team as an Accounts Payable and Receivable Specialist. This role requires expertise in managing both accounts payable and accounts receivable processes. Strong organizational skills, attention to detail, and understanding of financial principles will be critical to ensuring accurate financial transactions and maintaining healthy cash flow for our organization. This role will report directly to the Director of Finance and will work in partnership with MassBio’s current Account Payable & Payroll Specialist.
Key Responsibilities Include:
Accounts Payable Management
· Process vendor invoices accurately and efficiently, adhering to company policies and procedures
· Verify purchase orders, invoices, and supporting documentation to ensure accuracy and completeness
· Obtain necessary approvals for payments and prepare payment batches in a timely manner
· Connect with vendors to address inquiries, resolve payment discrepancies, and maintain positive relationships
· Reconcile vendor statements regularly to validate balances and resolve any discrepancies promptly
· Ensure compliance with appropriate tax regulations and coordinate with the finance team for necessary reporting
· Assist in periodic expense analysis and reporting
Accounts Receivable Management
· Generate and distribute accurate and timely customer invoices
· Monitor and track customer payments, ensuring adherence to payment terms and following up on overdue accounts
· Address customer inquiries and concerns regarding invoicing and payment matters
· Collaborate with sales and customer service teams to resolve billing discrepancies or disputes
· Reconcile customer accounts and follow up on outstanding balances
· Assist in the preparation of aging reports and financial analysis related to accounts receivable
Qualifications:
· Bachelor’s Degree in Accounting, Finance, or a related field
· 2 or more years’ experience as an Accounts Payable and Receivable Specialist or in a similar role
· Comprehensive understanding of accounts payable and receivable processes, as well as related accounting principles and practices
· Proficiency in accounting software and strong Excel skills
· Effective time management and organizational abilities to meet deadlines
· Strong communication and interpersonal skills for interacting with internal teams and external stakeholders
· Service oriented with the ability to work independently and collaborate effectively within the team and across the organization
· Strong ethics, integrity, and commitment to maintaining confidentiality
