Job Title: Office Administrator
Reports To: Administrative General Manager, President
Schedule: 8:30 a.m. – 5:00 p.m. (40 hours per week)
Salary: $23/hour, commensurate with experience

What We’re Looking For:
A self-starter possessing higher-level thinking skills with extensive scheduling and customer service experience. A team attitude, and excellent written and verbal business communication skills are a must. This role requires someone who is familiar with Microsoft Office, detail oriented, and comfortable multi-tasking. In addition to general office duties, and the Office Administrator is cross-trained in all areas of office management, including but not limited to estimating, billing, and human resources.
Additional Preferred Technical Skills:
Familiarity with Quickbooks and WorkWave Team Lite software are a big plus, but not required. We will train you on our software.
Essential Functions:
Customer Service
- Answers phones, reviews and responds to email, and assists customers with inquiries regarding services, fees, billing, payments, and other matters
- Manages new customer sales and provides phone estimates, creates customer accounts, and builds customer relationships
- Prepares and reviews job prospects with Director of Operations, then prepares proposals/contracts
- Communicates with customers and accounts payable departments to meet the billing requirements of specific agencies and contracts.
Scheduling
- Schedules all regular residential and commercial jobs, and any new work in coordination with the Director of Operations
- Creates work orders and ensures all contact and billing information is correctly entered within the software database
- Communicates and tracks changes in scheduled service to customers
- Keeps a record of all such communications including the names and contact information of persons spoken with, to facilitate future interaction
- Completes and maintains service agreements and contractor paperwork
General Duties
- Facilitates background checks, tracks employee certifications, and manages employee uniform services
- Provides required reports and works with the General Manager and Company President to resolve any issues
- Serves as back-up for other office staff in their absence (i.e. illness, vacation time, etc.)
- Works with company vendors regarding office maintenance and repair, office supplies, and window cleaning supplies
- Receives mail, and visits the post office as needed
Includes other office duties as assigned.
