Natural State Recovery Centers is seeking a friendly, enthusiastic, team-oriented and reliable Client Coordinator to join our team! We are an outpatient substance abuse center known for providing exceptional client care. Schedule: Monday through Friday 8:00am to 4:00pm.
Expected duties include:
- Establishing and maintaining a first-impressions environment at the front desk
- Answer any questions callers may have that are of a non-clinical or non-medical nature
- Conduct initial screenings for new clients to determine their needs and eligibility for services
- Provide compassionate, knowledgeable answers to those with questions about treatment and the admissions process
- Refer inquiries to other agencies and community resources when not appropriate for admission
- Verify insurance information prior to intake for new clients and on a weekly basis for established clients
- Educate clients on their insurance benefits, coverage, and any potential out-of-pocket expenses
- Collect deductible, coinsurance, co-pay, and or out-of-pocket expenses at the time of service
- Update and maintain correct financial information
- Collaborate with the billing company to inform or resolve insurance related issues and discrepancies
- Coordinate, schedule, and perform all admissions to the center
- Ensure accurate collection and data input into the EMR
- Follow up with no show appointments and cancellations
- Obtain medical records prior to admission if possible or upon admission when necessary to ensure continuity of care
- Identify admission barriers and assist in resolving issues to facilitate improved relations with referral sources and improve the referral process
- Orientate the client to Natural State Recovery Centers on admission
- Complete ADMIS the same day of admission
- Manage client appointments with the medical provider, including scheduling and rescheduling
- Support the medical provider in scanning and uploading documents into the EMR
- Perform urinalysis testing on clients
- Determine if the specimen is of proper quality and quantity. Recognize abnormalities and notify provider immediately
- Document all specimen results accurately and efficiently
- Complete appropriate handling and processing of specimen
- Manage and maintain office supply inventory collaboratively with the Business Office Manager
- Monitor grant spending, reporting throughout the grant life cycle
- Submit all reports in a timely manner as required by the grant
- Make certain all visitors sign in/out in the visitor book and provide each visitor with a badge
- Assist staff with making sure clients are complying with their daily group schedule
- De-escalate client situations when necessary
- Maintain confidentiality and adhere to HIPAA regulations
- Attend and participate in staff meetings and/or projects as assigned
- Carry out other administrative tasks and assist the Business Office Manager as needed

Experience:
- Strong knowledge of medical insurance plans and verification of benefits
- Excellent interpersonal and communication skills, with the ability to establish rapport with clients from diverse backgrounds
- Experience preferred in grant monitoring and reporting
- Detailed understanding of mental health and substance abuse disorders, as well as treatment modalities and resources
- Knowledge of Kipu and outcomes tracking is preferred
- Ability to multitask and prioritize tasks in a fast-paced environment
- Strong problem-solving skills and the ability to handle difficult situations with patience and professionalism
- Exceptional attention to detail, time management, organization, and accuracy is essential in this role
- High school diploma or GED

Pay: $19.00 - $23.00 per hour
