Description:
We are seeking an Administrative Assistant to join our team. If you are passionate about providing valuable support to help achieve business goals in an organized and strategic mode, this role may be a great fit for you.
The Administrative Assistant will perform a variety of administrative and back office support tasks for various departments including, but not limited to, Administration/HR, Accounting, Compliance, and Branch. This position is in-person and full-time (preferred; part-time is available), reporting to the Greenbelt, MD corporate office.
Major Duties and Responsibilities:
- Types and processes documents, training material, correspondences, and minutes as needed.
- Assumes receptionist duties, greets vendors, and refers them to appropriate staff members, answers phone calls, routes calls, and takes messages.
- Assists staff with administrative duties as requested.
- Develops, maintains, and monitors agency inventory system.
- Performs a variety of general clerical tasks, such as completing forms, maintaining files, stuffing and addressing envelopes, and answering basic member inquiries. Distributes incoming mail and prepares outgoing mail including bulk mail.
- Coordinates travel and lodging accommodations for staff, as requested.
- Assists with analysis, compilation, and completion of necessary reports as requested.
- Orders office and marketing supplies and monitors inventory.
- Produces mailing labels and reports as requested.
- Completes mail mergers as requested.
- Responds and manages emails, calendars, and schedules as needed.
- Maintains appropriate interpersonal relationships with employees, peers, and vendors.
- Drafts correspondences to staff and vendors.
- Proofreads and drafts training documents and forms.
- Review vendor contracts.
- Correspond with attorneys.
- Handles escalations with vendors and other third-parties.
- Conducts research and executes projects.
- Regularly initiates internal correspondence to obtain or relay information concerning Branch Operations, Administration, Lending, Human Resources, Accounting, Compliance, Recovery, and similar matters.
- Maintains vendor folders on the network drive by regularly updating address changes, correspondences, and contracts.
- Complete walk-throughs of each location to ensure the offices/branches are orderly, clean, and organized.
- Utilizing tact and experience-based knowledge, researches and resolves member (internal and external) problems/questions by explaining specific policies and procedures while representing the Credit Union in a professional manner and maintaining positive member relations.
- Performs other Administrative duties as assigned by the Chief Administrative Officer, Chief Information Officer, and/or Branch Operations Manager.
Work Schedule:
The typical work hours are 8:00 am - 5:00 pm; will require overtime and occasional Saturdays.
Required Qualifications:
- Minimum of three (3) years' experience working in an administrative support role.
- Associate's degree or equivalent completed.
- Strong understanding and working knowledge of Microsoft Office software such as Word, Excel, and Outlook.
- Superior organizational and prioritization skills with an ability to successfully balance multiple projects with minimal reminders or follow-up required.
- High degree of discretion, judgement, tact and professionalism, both in person and on the phone.
- Great attention to detail required.
- Writing and proofreading skills required.
Preferred Qualifications:
- Experience performing administrative tasks within a financial institution.
