** Trade Group Administrator | Administrative Assistant (Must Live on Oahu, Hawaii) **
Hawaii Unified (HU) is currently seeking highly motivated construction professionals to join our company in the Senior Administrative Assistant (aka, Trade Group Administrator) position. Responsibilities of the Senior Administrative Assistant:
Hawaii Unified's Trade Group Administrator will be the lead assistant to the Trade Group Director, or Director of Operations. He/she will oversee all individuals working in Hawaii Unified's Facility Maintenance Department, and work closely with all Operation and Administrative leaders as part of the collaborative effort to complete all trade specific work.
An understanding of basic accounting and business administration is a requirement to fulfill this position. The duties below are a reference and not a definitive list. The roles and responsibilities will vary slightly depending on experience, ability, and staff availability over time. Responsibilities include, but are not limited to:
- Overall success of the trade departments at Hawaii Unified.
- Overseeing all field and support staff, and responsible for all work routed through the trade group
- Holds weekly departmental meetings to problem solve in the department
- Reviews all staff quarterly
- Receives reports on KPIs for senior leaders (Scorecard)
- Responsible for daily task completions of quoting and material ordering
- Responsible for reviewing all quotes for appropriate language and margin
- Network with key customer contacts both locally and in the mainland
- Conflict resolution and issue escalation for department
- Responsible for managing monthly, quarterly, semiannual, and annual operating budgets, and making the Department profitable
- Attend weekly Operations meetings to provide Department Updates and contribute input on overall company operations
- Work with the Strategy Department to create marketable content and promote growth in the trade group
- Manage overhead costs and Cost of Goods sold to drive a profitable business.
- Appropriately staffs and manages the field technicians
- Is responsible for all work done in the field, must quality control and manage all site work within the department
- Conflict escalation with customers, vendors, store personnel, and internal team members
- Leadership coaching and meeting structure formulation with all down-lines
- Provide our customers with excellent customer service that includes fast work order resolution times, consistent updates, solution driven proposals, and quality work execution
Facilitate all the following management functions as they pertain to the Trade Groups:
- Business management Manage installation, service, and repair for the Department.
- Assistance in recruitment and hiring of new technicians and other support staff in the trade group.
- Manage estimator(s), administrator(s), and technician(s) to create a cohesive trade group team.
- Liaise with vendors when necessary to confirm scope, manpower, and materials, and ensure proper work and schedule adhered to.
- Coordinate all material orders and ensure timely orders with assistance of estimator and administrator.
- Develop trade department market and explore new opportunities for work.
- Work with primary customer contacts to develop relationships, quality control, and offer new/more services.
- Meeting Quarterly and annual revenue and profit goals.
Inter-department Relations:
- Trade Group contact for all departments.
- Management of shared resources across departments.
- Direction and coordination with logistics and procurement.
- Work with accounting for proper billing and costing.
* KPI’s: Responsible for the daily task management of quote production, technician scheduling, material and equipment ordering, and invoicing.
The Construction-Specific, Senior Administrative Assistant Should Have the Following Entry Qualifications:
- Candidates must be willing to work in a fast-paced and changing/growing environment
- Hold the required education certifications or licenses associated with a Master in their trade
- Computer literacy required (keen knowledge of MS Office applications, desired)

- 2+ years of (verifiable) related experience
- Experience in construction industry and management (Desired)
- Bachelor’s Degree (Desired - Ideal Candidates)
